Contractors Capital Solutions (CCS) is seeking a detail-oriented and highly organized Project Coordinator to support the Project Management team. This full-time, on-site role will focus on cost control, vendor coordination, and compliance across commercial, government, industrial, and union construction projects. As a key part of our operations, you’ll be responsible for ensuring financial accuracy, documentation integrity, and vendor compliance in a fast-paced and collaborative environment.

Key Responsibilities- Subcontractor & Vendor Coordination
- Set up and maintain subcontract records
- Communicate with subcontractors and vendors regarding compliance and payments
- Track committed costs vs. budget, including change orders and supporting documentation
- Insurance, Waivers & Compliance
- Review and track Certificates of Insurance (COIs)
- Verify endorsements and coverage
- Handle lien waivers and preliminary notices
- Monitor compliance for payment release and retainage
- Cost & Billing Support
- Review subcontractor pay applications
- Match invoices to contracts, pay apps, and approvals
- Support progress billing with documentation and change order tracking
- Verify cost codes and job phases
- Project Documentation & Systems
- Maintain document control and contract records
- Use financial/document management software (e.g., Procore or similar)
- Utilize PDF review and markup tools
- Provide basic job cost reporting support
- Coordination & Organization
- Track high volumes of tasks across multiple projects
- Meet deadlines for pay applications and compliance requirements
- Follow up on missing or incorrect documentation
- Communicate with Project Managers, accounting, and vendors to ensure smooth workflow
- 1-5 years of experience in project coordination, construction accounting, or related roles
- Associate’s degree preferred
- Strong understanding of construction cost tracking and subcontractor/vendor management
- Exceptional organizational and communication skills
- Proficiency with construction software such as Procore and standard PDF editing tools
- Detail-oriented with a proactive, deadline-driven mindset
