Role Description

The Administrative, Communications & Program Coordinator is a full‑time, on‑site position based at Congregation Beth Israel in Scottsdale, Arizona. As a key member of the CBI team, this individual serves as a welcoming first point of contact for members, visitors, and the broader community while providing essential administrative, communications, and program support across the congregation.

Working closely with clergy, senior staff, volunteers, and lay leaders, the Coordinator helps plan, promote, and execute meaningful programs, events, and communications that enrich congregational life. This role is responsible for proactive outreach, thoughtful follow‑up, and ongoing engagement with members, participants, volunteers, and prospective members, ensuring every interaction reflects CBI's warm, inclusive, and relationship‑centered culture.

The successful candidate is highly organized, detail‑oriented, and service‑focused, with the ability to manage multiple priorities while maintaining exceptional customer service. By coordinating communications, supporting volunteer engagement, and ensuring the smooth execution of daily operations and congregational programs, this position plays an integral role in creating a welcoming, connected, and vibrant community experience for all who engage with Congregation Beth Israel.

Key Responsibilities Administrative Support
  • Provide administrative support to Senior Rabbi and Executive Director.
  • Assist with calendar coordination and scheduling.
Front Desk & Member Experience
  • Serve as the primary point of contact for members, visitors, and prospective members.
  • Provide a warm, helpful, and professional welcome by phone, email, and in person.
  • Assist with member inquiries, lifecycle requests, and general information.
Communications & Marketing
  • In partnership with staff, prepare and distribute weekly e‑newsletters and event communications.
  • Update websites, social media, and digital signage.
  • Coordinate program promotions with clergy and staff.
  • Maintain consistent branding and messaging.
  • Conduct proactive outreach to program participants, volunteers, and prospective members.
  • Follow up after programs and events to encourage continued involvement.
  • Support volunteer coordination and appreciation.
  • Help connect congregants with programs and opportunities.
  • Maintain accurate records in the congregation’s CRM (Shul Cloud).
Program & Event Coordination
  • Coordinate logistics for congregational programs, classes, and events.
  • Manage program calendar and ensure robust annual plan for programming.
  • Manage registrations, attendance lists, and follow‑up communications.
  • Prepare materials and ensure rooms are set up appropriately.
  • Work with staff and volunteers to ensure smooth execution.
Qualifications
  • Strong communication skills, including clear written and verbal communication and the ability to convey information professionally to diverse audiences.
  • Demonstrated customer service skills, with a focus on responsiveness, empathy, and maintaining a welcoming environment for congregants and visitors.
  • Experience in program management and program development, including organizing, implementing, and supporting community or organizational programs.
  • Project management abilities, such as planning tasks, tracking deadlines, coordinating resources, and following through on details.
  • Proficiency with office software and communication tools (e.g., Microsoft Office or Google Workspace, email marketing platforms, basic website and social media updates).
  • Strong organizational and time management skills, with attention to detail and the ability to handle multiple tasks and priorities.
  • Ability to work collaboratively with staff, leadership, and volunteers, as well as independently with minimal supervision.
  • Understanding of or interest in Reform Judaism and synagogue life is beneficial; prior experience in a nonprofit, faith‑based, or community organization is a plus.
  • High school diploma required; associate or bachelor’s degree in communications, nonprofit management, or a related field is preferred.
  • Status: Full‑time, non‑exempt
  • Schedule: Primarily weekdays, with occasional evenings and weekends
  • Location: Scottsdale, Arizona
  • Salary Range: $55,000–$65,000, commensurate with experience
