Position OverviewThe Training & Education Administrator provides administrative, organizational, and project coordination support to the Vice President of Sales Training & Education and the broader Training & Education leadership team. This role serves as a central point of coordination for department communications, meetings, reporting, planning activities, and strategic initiatives.
Working closely with Directors of Training & Education, Learning & Delivery leaders, Instructional Designers, Training Specialists, and cross-functional business partners, this position helps ensure priorities are organized, projects stay on track, and key department initiatives are effectively planned, communicated, and executed.
The Training & Education Administrator supports executive communications, meeting preparation, documentation, project tracking, reporting, and event coordination. This position also identifies opportunities to leverage technology, automation, and AI-enabled tools to improve productivity, communication, reporting, and department effectiveness.
Key Responsibilities Executive & Administrative Support- Provide high-level administrative support to the Vice President of Sales Training & Education
- Manage executive calendar, schedule meetings, and coordinate priorities
- Prepare meeting agendas, materials, presentations, and documentation
- Capture meeting notes, action items, and follow-up communications
- Coordinate travel arrangements and logistics as needed
- Serve as central point of contact for Training & Education department communications
- Coordinate communications between leadership team, training staff, and cross-functional partners
- Distribute department updates, announcements, and key information to stakeholders
- Maintain organized communication channels and ensure timely information flow
- Support internal and external stakeholder engagement
- Track and monitor key department projects, initiatives, and priorities
- Maintain project timelines, milestones, and deliverables
- Coordinate project activities across Directors, Learning & Delivery leaders, Instructional Designers, and Training Specialists
- Identify potential roadblocks and communicate status updates to leadership
- Support strategic planning activities and department goal tracking
- Develop and maintain department reports, dashboards, and tracking systems
- Compile data and metrics for leadership review and decision-making
- Document processes, procedures, and best practices
- Maintain organized filing systems for department records and resources
- Support budget tracking and expense reporting
- Plan and coordinate department meetings, training events, and leadership sessions
- Manage logistics including venue selection, catering, materials, and technology setup
- Coordinate virtual meeting platforms and ensure technical readiness
- Support conference and offsite planning activities
- Manage registration, attendance tracking, and post-event follow-up
- Identify opportunities to leverage technology, automation, and AI-enabled tools
- Implement solutions to improve productivity, communication, and reporting
- Streamline administrative processes and workflows
- Support adoption of new tools and systems within the department
- Stay current on emerging technologies and best practices
- Partner with business partners across Sales, Operations, HR, IT, and other departments
- Coordinate cross-functional initiatives and communications
- Support alignment of training activities with broader business objectives
- Build and maintain positive working relationships across the organization
- High school diploma or equivalent required
- Associate's or Bachelor's degree preferred
- 3+ years of administrative, project coordination, or executive support experience
- Experience supporting senior leadership or executive teams preferred
- Background in training, education, or learning & development environments a plus
- Organizational Excellence: Exceptional organizational skills with ability to manage multiple priorities, deadlines, and stakeholders simultaneously
- Communication: Strong written and verbal communication skills; professional and polished in all interactions
- Attention to Detail: Meticulous attention to detail in documentation, reporting, and coordination activities
- Project Coordination: Ability to track projects, manage timelines, and keep initiatives on track
- Technology Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams); experience with project management tools, LMS platforms, and collaboration software
- Problem-Solving: Proactive identification of issues and development of solutions
