Service Administration Support

Job Description

About the Role:

The Service Administration Support role provides cross-departmental administrative support for Accounting, Service, Parts, and Rental operations. This position helps keep daily workflows moving by maintaining accurate records, supporting customers, communicating with vendors, and coordinating service-related information.

• Primary support areas include:
  • Communicate with customers and vendors to maintain accurate, up-to-date account and service information for a variety of work orders including preventative maintenance programs.
  • Provide customers and vendors with service status updates, cost estimates, warranties, final invoices, and payment collection support for completed services.
  • Maintain electronic records, files, and information libraries, including bulletins, manuals, and other related service documentation.
  • Document detailed asset information in the company’s management database.
  • Assist the Rental Department with equipment rental scheduling, hauling coordination, and invoicing.
  • Assist the Parts Department with inventory support and parts dispensing requirements.
• Skills / Experience
  • Strong customer service focus with excellent oral and written communication skills.
  • Highly organized, detail-oriented, and self-motivated, with the ability to multitask in a moderate-paced environment.
  • Basic parts and mechanical knowledge to communicate effectively with customers, vendors, and team members.
  • Computer proficiency, including Microsoft Word, Excel, and service management systems.
  • High integrity, reliability, and professionalism, with a flexible and team-oriented approach.
  • Willingness to cross-train and support varying department schedules as needed.
