The EL Assistant provides support to the Arizona English Language Learner (EL) campus programs and Central Office EL leadership. This position assists with student records, data entry, document organization, assessment logistics, scheduling, tracking, and other routine responsibilities that support efficient program operations.
This is a non-instructional support position and does not require a teaching degree or EL certification. The EL Assistant works under the direction of EL leadership and does not make decisions regarding student identification, placement, programming, services, or reclassification.
Essential Duties and Responsibilities
Clerical & Admin Support
- Provide general clerical and support to EL program.
- Maintain electronic files, folders, spreadsheets, trackers, and other program records.
- Enter and update student information in designated databases and student information systems.
- Scan, upload, organize, and file EL-related documents.
- Prepare routine forms, letters, rosters, labels, and other materials.
- Assist with scheduling meetings, training, testing activities, and campus support.
- Maintain calendars, deadlines, and program reminders.
- Send routine communications and follow-up reminders as directed by EL leadership.
- Assist with copying, printing, preparing, and distributing program materials.
Student Records & Documentation
- Assist with organizing and maintaining EL student records.
- Review files using established checklists to identify missing documents or incomplete information.
- Follow up with campus staff regarding outstanding paperwork as directed.
- Assist with obtaining records for newly enrolled or transferring students.
- Upload and maintain required documents within appropriate electronic student records.
- Organize documentation needed for internal reviews, monitoring, or audits.
- Maintain confidentiality of student records and information.
Assessment & Testing Support
- Assist with clerical and logistical preparation for AZELA testing.
- Prepare student rosters and testing lists based on information provided by EL leadership.
- Assist with tracking students who have completed required assessments.
- Help organize testing materials, schedules, student information, and documentation.
- Enter or upload assessment-related information as directed.
- Communicate routine testing reminders and deadlines to campus staff.
- Assist with maintaining testing records following each assessment window.
Data & Tracking Support
- Update EL student trackers and spreadsheets.
- Run or prepare routine reports as requested.
- Compare reports and records to identify missing or inconsistent information for EL leadership to review.
- Track outstanding documents, testing requirements, deadlines, and other assigned action items.
- Assist with compiling information needed by EL leadership for reports and program reviews.
- Campus Support
- Respond to routine questions from campus staff or direct questions to the appropriate EL team member.
- Assist campuses with locating forms, resources, and established procedures.
- Provide support during high-volume periods such as enrollment and state testing windows.
- Travel to Arizona campuses as needed to assist with files, documentation, testing preparation, and other needs.
- Perform other clerical duties as assigned to support the EL program.
Minimum Qualifications
- High school diploma or equivalent required.
- Previous clerical, office, or school-based experience preferred.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Ability to manage multiple tasks and deadlines.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel.
- Ability to learn student information systems and other electronic platforms.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality of student and organizational information.
- Ability to follow established procedures and seek guidance when appropriate.
- Reliable transportation and ability to travel to assigned campuses as needed.
