Scion Nonprofit Staffing has been engaged to conduct a search for an Administrative Assistant for a mission-driven organization seeking short-term support with an important governance document migration project. This is a hybrid opportunity with flexibility for qualified candidates to work both remotely and onsite. The assignment is expected to last approximately 3–4 weeks and is needed to begin as soon as possible.

POSITION OVERVIEW:

The organization is seeking a highly detail-oriented professional to support the migration and organization of sensitive board and governance records. This role will focus on systematically reviewing, comparing, organizing, and reconciling document sets to ensure files are accurate, complete, properly named, and appropriately versioned. The ideal candidate is methodical, discreet, highly organized, and comfortable working independently on repetitive, detail-intensive projects with a firm timeline.

RESPONSIBILITIES:
  • Review and migrate board minutes, governance documents, and related records while maintaining a high level of accuracy and confidentiality.
  • Systematically compare document sets to identify missing files, discrepancies, version mismatches, and other inconsistencies.
  • Organize files using consistent naming conventions, folder structures, and version-control practices.
  • Support the transition of records within cloud storage systems and, as applicable, board portal software.
  • Maintain an efficient workflow and strong time management to stay aligned with the organization’s migration timeline.
  • Communicate identified gaps, discrepancies, or questions clearly and promptly while working independently with minimal supervision.
QUALIFICATIONS:
  • Exceptional attention to detail with a methodical, organized approach to repetitive and highly focused work.
  • Demonstrated experience with document or records management, including file organization, naming conventions, version control, or document migration.
  • Strong reconciliation, auditing, or quality-control mindset with the ability to systematically compare information and identify discrepancies.
  • Excellent discretion and judgment when handling confidential or sensitive information.
  • Comfortable working independently, managing deadlines, communicating issues clearly, and using cloud-based storage systems; familiarity with board portal software is a plus.
COMPENSATION AND BENEFITS:

The compensation range for this contract opportunity is $25–$28 per hour. This is a short-term assignment expected to last approximately 3–4 weeks, with a hybrid work arrangement and an immediate start.
