Responsible for establishing, streamlining, and managing processes, procedures and programs related to escrow operations and support functions. Manage and lead a team who perform a wide range of duties related to escrow operations. Partners with and acts as a liaison between groups to ensure that compliance, policy and adherence, production goals, and timelines are met.
Job Duties and ResponsibilitiesEssential Job Functions

- Oversee all aspects of a closing, including and not limited to, receiving, and reviewing all new contracts, preparing estimated closing statements for buyer and seller, preparing file for signing, monitoring the closing and auditing escrow file.
- Respond in a timely, professional manner to any customer inquiries and complaints.
- Request that all necessary information has been ordered and is accurate, i.e. payoff, abstract, title evidence, reports, mortgage documentation, and other pertinent information.
- Review file for completeness, compliance and ensure title issues are resolved prior to closing.
- Prepare and submit closed loan package, deposits, and disbursement documentation, recording package, final policy package and/or commission package to appropriate department or entities.
- Prepare HUD settlement statements and other required documents.
- Supervise and provide guidance to all staff members. Conduct educational and informational meetings for the staff. Provide and oversee training for staff.
- Actively seek new business by attending sales meetings, real estate events, escrow, and managements meetings and interacting with lending and banking to increase capture rate.
- Provide backup to escrow branch manager.
- Assign files as they are received by the branch.
- Responsible for retention of clients and development of new business.
- Resolve issues that may arise resulting from closing or day-to-day operations.
- Monitor productivity of staff members to ensure customer service time needs are met.
- Review and approve invoices for payment in relation to office expenses.
- Perform any additional responsibilities as requested or assigned.
- Meet all performance and behavior expectations outlined in the company performance appraisal form or communicated by management.
- Perform responsibilities as directed achieving desired results within expected time frames and with a high degree of quality and professionalism.
- Establish and maintain positive and productive work relationships with all staff, customers, and business partners.
- Demonstrate the behavioral and technical competencies necessary to effectively complete job responsibilities. Take personal initiative for technical and professional development.
- Follow the company HR Policy, the Code of Business Conduct and all subsidiary and department policies and procedures, including protecting confidential company information, attending work punctually and regularly, and following good safety practices in all activities.
Education:
- Minimum of high school diploma or the equivalent.
Experience:
- Two years of supervisory experience preferred.
- 7 years’ experience as an Escrow Officer.
Knowledge and
Skills:
- Proficient in using personal computers and related software.
- Strong marketing and sales skills preferred.
- Superior interpersonal and communication skills, including presentation skills.
- Strong customer service focus and the ability to work as a member in a team-oriented environment.
- Ability to prioritize and manage multiple tasks and projects concurrently under deadline pressure, with the ability to occasionally work extra hours during peak times of the month.
- High degree of integrity, self-motivated, organized, detail oriented, and possesses a strong aptitude for figures.
- Effective analytical, problem-solving, and decision-making skills.
- The position requires approval from the Department of Corporations.
