Position OverviewWe are seeking a highly organized, detail-oriented Account Coordinator to support Account Directors and Account Managers in executing nationwide programs.
This is a hands-on, fast-paced role centered around scheduling, staffing, logistics, and real-time execution. You will play a key role in ensuring every activation is properly staffed, organized, and executed at a high level.
Event Scheduling & Staffing- Own scheduling across retail demos, events, and brand activations nationwide
- Recruit, screen, interview, and book Brand Ambassadors and event staff
- Train and coach talent on expectations, execution standards, and brand guidelines
- Support Account Directors and Account Managers with talent bookings, confirmations, and day-of documents (DOCs)
- Proactively identify and communicate staffing gaps or changes
- Manage real-time communication with staff during live events
- Execute 24-hour pre-event confirmations and day-of check-ins
- Troubleshoot issues in real time and support field teams
- Provide rotating weekend coverage for live events
- Manage booking platforms including recruiting, scheduling, and reporting
- Oversee program recaps through Formstack
- Maintain clean, accurate, and up-to-date program data across all systems
- Support staging and storage operations including inventory management, kitting, and asset tracking
- Coordinate shipping logistics including Fed Ex drop-offs and delivery tracking
- Maintain accurate inventory sheets by client and program
- Assist in end-to-end logistics to ensure seamless execution
- Collaborate with Account Directors and Account Managers across multiple clients and programs
- Support recruiting, hiring, staffing, and nationwide execution
- Assist with budget tracking and vendor coordination as needed
- Travel to support on-site activations when required (travel compensated separately)
- Monday – Thursday: 10:00 AM – 4:00 PM (in-office)
- Friday: 10:00 AM – 4:00 PM (remote)

Hours:
~30 hours per week - This role may require evening and weekend availability depending on event schedules
- $22/hour
- 30 hours per week
- Paid twice monthly (15th and 30th) via ADP
- Monthly performance bonuses (paid on the 15th)
