About the RoleVAULT is seeking an experienced Insurance Compliance & Product Governance Manager to own the regulatory, licensing, and product-documentation controls across our healthcare and insurance operations.
This role has a simple but critical mandate:
Ensure VAULT is properly licensed to conduct business and that what we sell, contract, document, configure, and administer matches - every single time.This is not a role focused solely on maintaining a licensing spreadsheet or reviewing documents after the fact. This individual will establish and own the controls that ensure products and client implementations are compliant and accurate before they go live.
The ideal candidate understands health insurance, benefits administration, claims, and/or TPA operations and knows how a product moves from sales, contracting, plan documentation, configuration, implementation, claims administration.
They will serve as the organizational owner for licensing, regulatory documentation, product governance, document/version control, and implementation compliance.
What You'll Own Licensing & Regulatory Compliance- Maintain a complete inventory of all required corporate, TPA, administrator, producer, and other applicable licenses.
- Own license applications, renewals, regulatory filings, appointments, bonds, and associated documentation.
- Maintain a centralized compliance calendar with clear deadlines and advance renewal requirements.
- Ensure required licenses remain active and in good standing in every jurisdiction where VAULT operates.
- Monitor changes to applicable state and federal requirements and coordinate necessary operational or documentation changes.
- Maintain organized, audit-ready records of licenses, filings, approvals, correspondence, and supporting documentation.
- Escalate potential compliance gaps before they create operational or regulatory exposure.
- Own governance and quality control for plan documents, contracts, certificates, SPDs, SBCs, amendments, disclosures, benefit summaries, and other governing or member-facing documentation.
- Ensure documents accurately reflect the products and benefits approved and sold.
- Establish and maintain standardized templates and document-control procedures.
- Maintain version control and a centralized source of truth for current approved documents.
- Prevent outdated, conflicting, or unapproved documentation from being used.
- Coordinate updates when benefits, vendors, networks, PBMs, claims rules, regulatory requirements, or other product components change.
Own the control process that confirms what was sold is what VAULT implements and administers.
For new products and client implementations, validate alignment between:
- Sales proposals and approved benefit designs
- Executed contracts and agreements
- Plan and benefit documents
- Eligibility and enrollment requirements
- Claims adjudication rules
- Vendor and network arrangements
- Member and employer-facing materials
Identify discrepancies and drive them to resolution before implementation or go-live
.
- Develop and own a formal compliance and product-governance checklist for new implementations.
- Provide documented compliance sign-off before products or groups are released into production.
- Partner with Sales, Implementation, Product, Claims, Operations, Legal, and Technology to resolve discrepancies.
- Establish clear escalation procedures when required information, approvals, or documentation are incomplete.
