Summary

The Operations Event Coordinator provides essential support in the planning, coordination, and execution of events. This role focuses on managing logistics, assisting with on-site operations, and ensuring all event components meet the organization's standards of excellence and client expectations. The Operations Event Coordinator is detail-oriented, proactive, and thrives in a fast-paced environment where problem-solving and collaboration are key.

Responsibilities Event Planning and Coordination
  • Collaborate with event management to execute operational plans for events.
  • Coordinate with event staff and vendors providing clear direction and support as needed.
  • Assist in developing event timelines, checklists, and setup plans to ensure seamless execution.
  • Track event budgets and expenses, helping to ensure cost-effective operational decisions.
Event Operations and Logistics
  • Monitor and manage event supplies, equipment, and inventory; ensure all items are maintained, organized, and replenished as needed.
  • Support the setup, teardown, and clean-up of event spaces, ensuring all materials are properly stored and areas are left in excellent condition.
  • Address and resolve operational challenges as they arise, maintaining composure under pressure.
  • Ensure all events comply with safety regulations, legal requirements, and company policies.
Performance and Process Improvement
  • Assist in implementing measures to evaluate event effectiveness and success.
  • Recommend and apply techniques to improve productivity, reduce costs, and enhance guest experience.
  • Meet challenges with creativity and resourcefulness, developing innovative approaches to event operations.
Communication and Relationship Management
  • Establish and maintain strong working relationships with internal teams, clients, and external partners.
  • Communicate clearly and professionally with diverse groups of individuals, ensuring alignment and teamwork throughout each event.
Working Conditions
  • Work will be performed both inside and outside on a regular basis, in most weather conditions.
  • Noise level in the work environment is typically moderate to high.
  • Evening, weekend, and holiday shifts are required as a normal part of this position.
Physical Demands

While performing the duties of this job, the employee is regularly required to sit, stand, and walk for extended periods. The employee occasionally is required to bend, climb, stoop, lift, carry, push, kneel, crouch, or crawl. The employee must regularly lift and/or move 25 pounds and occasionally lift and/or move up to 75 pounds.

Required Qualifications
  • High School diploma or GED.
  • CPR and First Aid Certification within 90 days of hire.
  • Flexibility to work evenings and weekends as required for client meetings and events.
  • Valid AZ driver's license, provide a 39-month satisfactory MVR report.
  • Obtain a Tribal operator driving permit at the time of hire.
  • A satisfactory result obtained through a test for illegal drugs.
  • Acknowledge and agree to maintain a drug-free workplace.

  • Strong communication and interpersonal skills.
  • Ability to work collaboratively within a diverse team.
  • Excellent problem-solving abilities and resourcefulness.
  • Experience in event coordination, hospitality, or related operational fields.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Knowledge and experience working with Gila River Indian Community or other Native American Communities.
  • Proficient in MS Office and other relevant workplace tools.
