Overall PurposeThe Sr. Talent Coordinator performs a variety of recruitment functions to attract and align exceptional talent with business needs. This position ensures compliance with legal requirements and demonstrates continuous commitment to employee engagement. The Sr. Talent Coordinator will also oversee the onboarding function and serve as the administrator for new hire classes.
Essential FunctionsScheduling
- Schedules phone screens and interviews for recruiting staff and hiring teams.
- Prepares and communicates interview schedules and serves as the primary point of contact for candidates and internal staff involved in the hiring process.
- Manages day-to-day feedback and operates as the main user for the automated scheduling system.
Travel Support
- Partner with candidates to coordinate and confirm travel logistics for onsite interviews, ensuring a smooth and timely booking process.
- Manage travel coordination for new hire orientation, including guidance for booking, assisting with logistics, and confirming arrival to ensure a smooth onboarding experience.
- Submit and manage all travel expenses for candidates’ interviews, as applicable.
- Coordinate conference room bookings for interviews, collaborating with the administration team, IT, and hiring managers to ensure space and technology needs are met.
- Liaison for Talent Acquisition in partnership with Security Services and the administrative team on shared hiring needs.
- Communicates and manages applicable updates to the internal travel SharePoint site.
Pre-hire Activities
- Conducts a weekly new hire update call with key stakeholders.
- Prepares and sends background and drug screenings, including U.S. Treasury background checks and additional pre-employment requirements.
- Tracks receipt and completion throughout the background process and keeps recruiting staff abreast of status.
- Manages the communication process on background clearances and start date updates to candidates and staff.
- Represents the company in a highly professional manner and demonstrates the highest level of integrity and confidentiality.
- Works cross-functionally to resolve day-to-day issues and escalate when needed, ensuring a smooth candidate experience and minimal disruption to the business.
Program Management & Administrative Duties
- Oversees the employee referral bonus program and administers payouts.
- Responsible for administering and collecting results of the candidate experience survey.
- Monitors the recruiting shared mailbox.
- Conducts and records results of quarterly FCRA internal team audits.
- High School diploma or equivalent.
- 5 or more years of related experience in an HR support role or in a high-volume administrative role in a professional environment.
- Experience maintaining and utilizing various ATS systems (applicant tracking software).
- Knowledge of employment-related legal requirements.
- Effective verbal, written and interpersonal skills.
- Strong attention to detail and follow-up skills.
- High sense of urgency and ability to multitask.
- Must demonstrate professionalism, high level of customer service, and confidentiality.
- Proficiency in Microsoft Excel and Word.
- Background and drug screening.
- Experience with Workday applicant tracking software.
- Additional related education and/or experience preferred.
- Experience conducting and responding to audits.
- Prior immigration support experience.

Physical RequirementsWorking conditions consist of a normal office environment. Work is primarily sedentary and requires extensive use of a computer and involves sitting for periods of approximately four hours.
