The Talent Acquisition Coordinator coordinates recruiting and hiring activities for the organization, while providing administrative and operational support to the Talent Acquisition & Engagement team. This role supports the full recruiting and pre-onboarding lifecycle and contributes to initiatives that enhance the candidate, new hire, and overall employee experience.

- Track and manage approvals for open positions and offers of employment.
- Post, update, and maintain job openings through the Company’s Applicant Tracking System (ATS).
- Support and maintain internal and external recruiting platforms, such as ATS, Linked In, Indeed, and Glassdoor.
- Own and manage ATS content such as requisition details, candidate profiles, offer letters, templates, and workflow accuracy.
- Partner with hiring teams to update and maintain job descriptions to ensure consistency, accuracy, and alignment across departments.
- Serve as a key point of contact for candidates, hiring managers, and internal partners throughout the recruiting and hiring process.
- Communicate timely updates related to interview status, offers, contingencies, and next steps.
- Coordinate weekly new hire updates with IT and other internal teams to support timely onboarding and system access.
- Develop, document, and maintain recruiting resources, including SOPs, process guides, and templates.
- Anticipate next steps in the hiring process and proactively identify gaps or opportunities to improve efficiency and candidate experience.
- Draft, send, track, and maintain offer letters, sales agreements (when applicable), and pre-employment documents.
- Coordinate pre-employment screening activities and communicate status updates to candidates and hiring teams.
- Provide onboarding and orientation support as needed.
- Manage new hire welcome packages, including ordering, inventory tracking, and distribution of branded merchandise.
- Order new-hire business cards and manage the Wave Connect platform.
- Support employee perks and program management, including eligibility tracking and drafting employee communications.
- Assist with quarterly new-hire surveys, including distribution, data compilation, and summary reporting for leadership.
- Provide administrative support for the Company’s Learning Management System (LMS), including assigning new-hire training and generating reports.
- Assist with office-related coordination such as building work requests, access control, and office supply ordering.
- High school diploma required; bachelor’s degree preferred.
- Prior experience in a professional administrative, recruiting coordination, or HR support role.
- Strong organizational skills with exceptional attention to detail and ability to manage multiple priorities.
- Demonstrated ability to proactively identify needs, anticipate next steps, and improve processes.
- Comfortable leading work through process ownership and project coordination.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience using ATS platforms (e.g., Clear Company, ADP Workforce Now).
- Flexible, adaptable, and receptive to feedback and change.
- Ability to work effectively under general supervision in both individual and team-based environments.
