A Head Quarters (HQ) Operations Manager in the vape hardware/cannabis industry oversees the centralized storage, inventory control, and distribution of hardware (vape pens, batteries, cartridges). This role requires managing operational efficiency, regulatory compliance, managing staff, and maintaining high-efficiency logistics.
Responsibilities/daily tasks:- Inventory Control & Management: Oversee inventory control processes, cycle counts, and annual audits. Coordinate with the product group to monitor, analyze, and maintain sample product inventory level. Ensure inventory accuracy and investigate and resolve inventory discrepancies.
- Regulatory Compliance: Ensure all operations, including receiving, shipping and production, strictly adhere to company standards regarding , security and safety protocols, and regulatory compliance.
- Receiving: Manage the receiving of all supplies, equipment and packages, manage RMAs (returns), and create and maintain a detailed reporting system for all packages received.
- Shipping & Logistics: Manage outbound shipments. Ensure timely and accurate order fulfillment. Coordinate with sales and product groups to ship products to customers. Responsible for tracking, monitoring, and solving any shipment issues for on-time delivery.
- Team Leadership: Supervise, train, and schedule warehouse and in-house print staff fostering a culture of safety and performance. Conduct performance evaluations and provide coaching and development.
- Operational Efficiency: Optimize warehouse layout, manage packaging requirements, and implement SOPs to ensure smooth and efficient operations. Maintain cleanliness, organization, and safety of warehouse areas. Support continuous improvement initiatives to enhance compliance, process efficiency, and operational effectiveness.
- Analytics: Provide and analyze quantitative insights regarding order accuracy, shipping time, in-house production time, parcel costs, etc. to improve efficiency and reduce costs.
- Forecasting: Work with procurement to monitor Min/Max levels, tracking trends to forecast future stock requirements for hardware.
Experience, Education
- Experience: 2–5+ years of experience in warehouse management, logistics, or supply chain, with preference for experience in the cannabis, hemp, or vaping industry.
- Technical
Skills:
Proficiency in Warehouse Management Systems (WMS), Inventory Management Software, Enterprise Resource Planning (ERP) systems and Excel. - Compliance Knowledge: Deep understanding of state-specific cannabis regulations (e.g., packaging, labeling, METRC). Working knowledge and understanding of OSHA safety procedures. Experience in a regulated distribution environment (e.g., ISO 9001 or ISO 13485).
- Education: High school diploma or equivalent is typically required; a bachelor’s degree in supply chain or logistics is preferred.
- Ability to stand for extended periods
- Ability to lift up to 50 lbs
- Good vision for inspecting small printed details
- Manufacturing facility producing cannabis vape hardware
- May involve exposure to inks, solvents, and cleaning agents (PPE provided)
- Must comply with all local and state cannabis regulations
- Hardware Tracking: Managing serialized hardware (batteries/chargers) alongside inventory tracking of cartridges.
- Security: Maintaining strict, often audit-ready security for high-value inventory.
