Primary Responsibilities

The Database & Annual Fund Coordinator will contribute to the development team by ensuring donor and sponsor records are accurate and analyzed. The position will use data to implement the annual fund through mail and email communication.

Database & Annual Fund Management
  • Serve as the database & annual fund manager to ensure
    • Little Green Light (LGL) is implemented, maintained, and fully utilized with all features and updates.
    • Proper integration with sub-databases:
      Give Smart, Square, Donor Search, and Give Campus with data from other sources.
    • Notre Dame Prep Fundraising and Constituents’ information is properly updated.
    • Accuracy of database information and cleanliness.
  • Gift Entry, Acknowledgement, & Reporting
    • Responsible for all gift entry into and acknowledgement and reporting from LGL for:
      • Checks, credit card entries, ACH, wire transfers, charitable trust, and stock donations
      • Online and peer-to-peer database
      • Matching gifts
      • In-kind donations
      • Deposits
      • Advancement events
      • Sponsor ships
  • Actively seek ways to utilize databases to meet fundraising ends effectively and efficiently.
  • Complete monthly financial reconciliation of donor database with the finance department.
  • Support stewardship for retaining individual donors.
  • Assist Director of Advancement with advancement events.
  • Supports the development and submission of grant proposals, including research opportunities, gathering required documentation, and assisting with reporting requirements.
  • Assists in cultivating corporate sponsors and donors by supporting outreach efforts, preparing sponsorship materials, and coordinating follow-up communications.
Comprehensive Database Analysis & Communication Implementation
  • Collaborate with the Director of Advancement to implement direct data-driven mail appeals and email solicitations to contribute to the annual fund.
  • Creates queries and reports for targeted mail and email communication.
  • Evaluate appeal responses and communications based on donor segments to develop an analysis of past giving trends, interactions and program results.
  • Oversee donor and prospect analysis and research to increase the annual fund and major gift program.
  • Know industry-related trends and information related to direct mail appeals and donor prospecting.
  • Generate and send thank you letters and stewardship pieces to corporate, faith-based, and individual donors.
  • Develop queries, reports, forms, imports, and exports through LGL to support the Advancement terms.
  • Supervise office volunteers to assist in database maintenance tasks.

Knowledge, Skills & Abilities
  • Ability to compile and interpret comprehensive reporting
  • Ability to work independently, as well as in team structure.

  • Prior experience managing constituent relationship management database.
  • Prior experience in Little Green Light (LGL), Give Smart, Give Campus, Donor Search, and Square products is a plus.
  • Demonstrated ability to solve problems and think strategically.
  • Detailed and strong organizational skills.
  • Excellent written communication skills.
  • Ability to work a flexible schedule.
  • Ability to safely and legally operate a motor vehicle.
  • Proficiency in Microsoft Word, Excel, Outlook & PowerPoint.
Education, Experience & Credentials
  • Three or more years of successful experience in managing or working closely with a database required.
  • Experience with Little Green Light (LGL), Give Smart, Give Campus, Donor Search, and Square is a plus.
  • Experience in nonprofit development and project management is a plus.
  • Utilize the telephone and communicate with others, inside and out of the office environment.
  • Ability to be sedentary for extended periods of time.
  • It may involve some physical activity the ability to lift approximately 25 pounds.
  • Manual dexterity and visual acuity for computer keyboarding, office equipment use, and detailed reports and information.
