We are seeking an energetic, client-focused Bilingual Appointment Setter to join our Haus of Confidence Scottsdale team onsite. This entry-level position is ideal for someone who enjoys speaking with people, building rapport quickly, and playing a key role in turning inquiries into life-changing patient appointments.

Responsibilities

Key Responsibilities:

Answer inbound calls and respond to messages in a timely, professional, and friendly manner — in both English and Spanish.

Conduct outbound outreach to leads and prior patients to schedule consultations and follow-up appointments.

Qualify prospective patients by gathering relevant information about goals, medical history, and availability to ensure an excellent match with services.

Maintain accurate appointment schedules in the clinic’s scheduling system and update patient records after each interaction.

Confirm upcoming appointments via phone and text, reducing no-shows and optimizing provider schedules.

Collaborate with clinical and front-desk staff to ensure smooth patient flow and escalate clinical or insurance questions as needed.

Track call and appointment metrics, provide feedback on lead quality, and suggest process improvements to increase conversion rates.

Requirements

Required Qualifications:

Fluent in English and Spanish (verbal and written) — ability to switch between languages naturally with patients.

Excellent phone communication and active listening skills; clear, professional phone manner.

Customer-service oriented with a positive, empathetic attitude toward patient needs.

Basic computer skills and comfort using scheduling/CRM systems, texting platforms, and email.

Reliable, punctual, and able to work onsite at our Scottsdale location full-time.

High school diploma or equivalent; previous front-desk, call center, or retail/customer service experience preferred but not required.

Preferred Qualifications:

Experience in a medical, dental, or aesthetics practice with familiarity of appointment workflows.

Comfort discussing treatment options, pricing ranges, and available promotions while following clinic protocols.

Strong organizational skills and the ability to multitask in a fast-paced environment.

Basic sales or lead-conversion experience with demonstrated ability to meet appointment-setting targets.
