Job Summary
With a commitment to patient‑ and family‑centered care, the Unit Secretary performs clerical duties, including data entry into the Hospital Information System to support unit operations. They assist in overall unit flow by answering calls, organizing information, and handling admission, transfer and discharge of patients. The secretary coordinates off‑unit testing and appointments and supports inventory needs in collaboration with unit leadership and supply chain.
Responsibilities- Interact with co‑workers, visitors, and staff, demonstrating compassion and respect for patient and family preferences.
- Minimize risk of harm by following established protocols and maintaining safety.
- Communicate and support the interprofessional team, patients, families and designated care partners.
- Maintain frequent communication with the Charge Nurse to meet unit needs.
- Monitor the electronic bed‑management system, assign admissions, complete staffing assignments, and request patient transport.
- Coordinate patient appointments and testing, including transport and discharge appointments.
- Perform clerical functions and maintain organized medical records.
- Process medical orders to facilitate the implementation of patient care plans.
- Assist during unit emergency codes, calling the dispatcher, gathering equipment, and troubleshooting failures.
- Participate in unit committee meetings in addition to staff meetings.
- Monitor the tube station for incoming and outgoing items and dispense accordingly.
- Secretarial and computer experience.
- Knowledge of medical terminology.
- Cultural awareness and ability to communicate respectfully with diverse populations.
- Effective communication skills, including the ability to transmit, receive, and interpret information accurately.
- Ability to use the language of partnership with patients and families.
- Diploma or equivalent.
- Data entry experience.
Lift and carry 40–50 lbs. Push/pull patients on bed or stretcher requiring 29 lbs. push force, lateral transfers up to 50 lbs. of the patient’s weight. Frequent to continuous standing and walking; patient transporters can walk 8–10 miles per shift.
