We are expanding our go-to-market organization to support continued growth across patent and trademark renewals, while building a foundation for broader service offerings including filings, translations, and recordals.

Position Summary

Sun IP is entering a period of meaningful expansion, growing our service portfolio, launching new platforms, and scaling our go-to-market organization. Events are one of the company's most important and immediate marketing channels, and this role is responsible for making sure that channel runs flawlessly.

Reporting to the Chief Marketing Officer, the Event Marketing Specialist owns the logistics engine behind Sun IP's presence at industry conferences, trade shows, and client events. This is a mission-critical, execution-focused role: conference registration, travel planning, scheduling, shipping, booth logistics, on-site coordination, and event vendor management all live here, and doing them well maximizes the return Sun IP gets on its event channel investment.

This role is well suited to someone early in their career who is an exceptionally fast learner, thrives on detail, and takes real ownership so nothing falls through the cracks. You'll work closely with the IP Product Marketer and Sales, building a strong foundation in B2B event marketing with real, visible impact on pipeline.

Key Responsibilities

Event Logistics & Execution (mission-critical)

  • Own end-to-end logistics for Sun IP's presence at industry conferences, trade shows, sponsor ships, and client events, including INTA, AIPLA, IPO, LES, and others
  • Coordinate all event travel: bookings, itineraries, accommodations, and on-the-ground logistics for the sales and marketing representatives attending each event
  • Build and manage detailed event timelines and schedules, tracking every deadline from booth reservation through shipping cutoffs to on-site furniture layout
  • Manage vendor and venue coordination, material shipments to and from events, and day-of execution
  • Track event budgets and expenses, and manage vendor invoices and contracts
  • Anticipate logistical risks (shipping delays, scheduling conflicts, vendor issues) and resolve them proactively, before they become problems
  • Review and optimize Sun IP's established strategy for industry conferences, trade shows, sponsor ships, webinars, and client round tables, refining which events to prioritize and why
  • Support pre-event, at-event, and post-event campaigns designed to drive meetings, booth traffic, and qualified follow-up
  • Help track and report on event ROI and pipeline contribution, working with the IP Product Marketer to identify what's driving results
  • Maintain event materials inventory (booth assets, signage, giveaways, collateral) and coordinate reordering and refreshes

Cross-Functional Coordination

  • Partner closely with the IP Product Marketer to align event logistics with broader positioning, campaign, and launch timing
  • Coordinate with Sales on staffing plans, event goals, and follow-up expectations
  • Maintain a shared events calendar and keep stakeholders informed of key dates and deliverables

Required Experience

  • 0-2 years of professional experience; internships or coursework in marketing, communications, event management, or a related field are welcome
  • Some exposure to event planning, logistics coordination, hospitality, or project coordination (through internships, campus organizations, or prior roles) is a strong plus
  • Comfortable managing travel logistics and coordinating with vendors, venues, and shipping providers
  • Proficiency with standard productivity and scheduling tools (e.g., spreadsheets, calendars, project trackers); comfort learning new systems quickly

  • Fast learner who can absorb new processes, tools, and industry context quickly and independently
  • Strong organizational and time-management skills; able to juggle multiple logistics streams and deadlines at once
  • Proactive problem-solver who flags and resolves issues early rather than waiting to be asked
  • Clear, professional written and verbal communication with internal stakeholders and external vendors
  • Comfortable in a fast-moving, lean environment where ownership matters more than tenure
  • Genuine interest in learning how event execution connects to sales pipeline and business results

Additional Expectations

  • Ability to work occasional evenings/weekends around event schedules as needed
  • Occasional on-site presence is required to manage inventory, shipping, and event preparation
  • Occasional travel may be required for industry events
