Lank, Johnson & Tull, CPAs, a public accounting firm serving Delaware since 1974, is seeking a full-time Firm Administrator based in our Seaford office.
This individual is the operational backbone of the firm. You will own our internal accounting, billing and collections, firm payroll and HR, benefits administration, tax season production logistics, and day-to-day operations, and you will manage and deliver payroll and bookkeeping services for a book of firm clients. You will also supervise administrative staff and set the standard for how clients experience the firm and its services.

About the ScheduleTax Season (January through April): during our busiest time of year, we extend our office hours to best serve our clients and meet critical filing deadlines. Monday through Thursday, 8:00 AM to 7:00 PM. Friday, 8:00 AM to 5:00 PM. Saturday, 8:00 AM to 4:00 PM.
Off-Season (May through December): we return to standard business hours and enjoy Fridays off from Memorial Day through Labor Day. This time of year offers room for process improvement projects, planning, and professional development at a more relaxed pace.
Your Responsibilities- Develop, document, and continuously improve standard operating procedures for the administrative, tax support, and client bookkeeping functions of our firm.
- Maintain the firm's internal books, prepare disbursements and record deposits, run client billing, print and distribute invoices and statements, post payments, produce monthly accounts receivable and work-in-process reporting, and drive the collections process.
- Process the firm's payroll, administer health insurance, retirement plan contributions, FSA, disability coverage, and Delaware Paid Family and Medical Leave, support recruiting and onboarding, and maintain personnel records.
- Manage and deliver the firm's client payroll compliance calendar, including quarterly federal and state filings, the January year-end W-2 and 1099 program, and state agency portal filings, along with a book of client bookkeeping engagements, supervising associate-level posting work and other client deliverables.
- Drive the production side of tax season for the Seaford office, including intake, electronic signature routing, return assembly and delivery, client portal administration, and extension tracking.
- Supervise other administrative staff, own new client intake, and make sure the phones, the mail, and other important front office tasks run efficiently and effectively.
- Five or more years of administrative or operations management experience.
- Accounting and bookkeeping experience.
- Working knowledge of Quick Books.
- Experience with payroll processing.
- Supervisory experience.
- Above average writing and communication skills.
- The organization to run several competing deadline calendars at once.
- Dependability, discretion, and professionalism with sensitive financial and client information.
- Ability to work extended hours during tax season.
- CPA or MBA preferred.
- Experience with CS Professional Suite, ADP, or CFS Payroll System.
- Multi-state payroll tax filing experience.
