Under the supervision of the Customer Service/UB Supervisor, the Customer Service / UB Tech, also referred to as the Cashier/Receptionist, performs clerical and public contact work, in person and on telephone, of moderate difficulty in receiving and recording incoming funds, handling water accounts receivable, and other general receptionist duties. Performs other duties as assigned.
The essential job functions of this position included, but are not limited to, the following:
- Develops and maintains effective communication with the public at all times. Answers incoming telephone calls, provides appropriate response and/or forwards to proper department for response. Responds to citizen complaints and requests for service and/or for information regarding City services;
- Receives, records and receipts payments for utility bills and various permit fees. Balances daily cash and check receipts;
- Assists visitors or directs to appropriate office or department head;
- Relays messages, work orders, or emergency calls to field operations;
- Prepares various reports and maintains files relating to customer service activities;
- Assists and works closely with Public Works in requests for water and sewer taps;
- Operates computer to store and access customer database and word processing;
- Set-up new service, transfers and termination of service;
- Assists customers with application and payment for Certificate of Occupancy inspections;
- Update accounts as required;
- Process drop box daily, morning and afternoon;
- Processes payments received by mail;
- Issue and accept payment for garage/yard sale permits;
- Receives, researches and responds to customer inquiries and requests regarding accounts, rates, services;
- Daily Cash Receipts (DCR) - balance and journalize total monies received each day through all cash drawers;
- Monthly journalizing of Utility Billing;
- Load/Unload Handhelds during monthly meter readings. Run and print reports for meter reading edits; check edits for possible lead/misreads. Prepare list of re-reads for Meter Services as necessary;
- Preparing cut-off lists and printing door notices for Meter Services;
- Water billing adjustments;
- Process monthly water billing;
- Create Prenote for bank draft customers;
- Process bank drafts;
- Batch payments for ACH bill pay;
- Prepare newcomers folders;
- Maintain lobby information (i.e. Seagoville magazines, voter registration, etc);
- Preparing and placing signs on City Hall doors/windows to notify customers of closure for holidays, etc.
- Other duties as assigned.
High School Diploma or GED; six (6) months to one (1) year general clerical experience involving handling money and interacting with general public.
Special Requirements
Ability to speak and understand English required;
Ability to speak and understand Spanish preferred; MUST be able to pass comprehensive back ground check, drug and physical screen, and credit check.
Miscellaneous Information
Knowledge of office practices and procedures, ability to follow instructions both written and verbal; ability to deal with the public requiring courtesy and tact; ability to communicate with a wide variety of people giving and receiving information and answering questions; ability to handle confidential information in a responsible manner; ability to perform simple mathematical computations. Skill in the use of computer and relevant computer programs.
