Job Summary

Responsible for converting telephone and walk-in prospects to leases, maintaining and increasing occupancy, and effectively communicating with existing residents to establish a successful renewal program. Responsible for weekly/monthly reporting, rent posting, and assisting the On‑site manager with day‑to‑day property activities while maintaining office clerical systems and meeting resident needs.

Responsibilities
  • Marketing
    • Respond to telephone inquiries to generate prospective resident visits.
    • Show and demonstrate apartments using sales skills to secure lease signatures.
    • Follow‑up with prospective residents.
    • Monitor telephone and walk‑in traffic via guest cards and traffic logs.
    • Walk model tour route and open models daily to ensure quality presentation.
    • Collect lease information, complete applications, conduct credit and reference checks, and maintain lease files.
    • Conduct periodic market surveys as requested.
    • Encourage resident retention by contacting residents on the renewal report not currently on lease.
  • Lease Administration
    • Perform move‑in inspections with new residents.
    • Review welcome packet with new resident promptly.
    • Maintain legal records/files.
    • Enter daily activity on vacancy and rent reports.
  • Resident Relations
    • Prepare and process resident service requests.
    • Assist with resident problems and complaints concerning rent payments and service requests.
    • Assist with newsletters and promotion flyers.
    • Assist in planning community activities and events.
  • Accounting
    • Collect, record, and deposit rental payments, application fees, and security deposits.
    • Maintain account records and journals, and make bank deposits.
    • Prepare weekly and monthly financial reports as required.
    • Assist in preparing legal action for evictions when necessary.
  • Affordable Housing (if applicable)
    • Assist Manager in complying with regulatory agencies and investors.
    • Ensure administrative and building operations comply with regulations.
    • Assist with initial certifications, annual re‑certifications, rent increases, and utility allowances in accordance with LIHTC and HUD guidelines.
    • Prepare sites for Management and Occupancy Review (MOR), REAC, Housing Quality Standards (HQS), investor audits, and inspections.
  • Other tasks as assigned.
Supervisory Responsibilities
  • Reports directly to the On‑site Manager.
  • Supplies supervision, scheduling of maintenance and on‑site personnel in the manager’s absence.
  • Collaborates with property manager, administrative staff, staff from other developments, outside vendors, and service providers.
Qualifications
  • High school diploma or GED.
  • Two years of related property management or training experience preferred, or equivalent education and experience.
  • Proficiency in MS Office (email, Word, Excel) and office management systems.
  • Excellent time‑management, multi‑tasking, and prioritization skills.
  • Strong attention to detail, problem‑solving, and customer‑service skills.
  • Reading comprehension for emails, utility billings, financial documents, and lease agreements.
  • Mathematical skills for calculating discounts, interest, commissions, proportions, and percentages.
  • Reasoning ability for numerical operations and measurement conversions.
  • Valid driver’s license; liability insurance; personal vehicle use may be required.
Physical Demands
  • Required to stand, use hands, walk, climb, balance, talk, and hear.
  • Frequent sit, stoop, kneel, and/or crouch.
  • Lift up to 25 pounds routinely, and sometimes more than 50 pounds.
  • Close, distance, color, peripheral, and depth vision; ability to adjust focus.
Work Environment
  • Moderate noise level; occasional exposure to outside weather, mechanical parts, hazardous chemicals, and electrical shock.
  • Frequent shifting of priorities and deadlines, occasional overtime, and potential out‑of‑town travel for conferences.
