Financial Services Assistant — Part-Time

Rasmussen Capital Management, Inc. is seeking a professional, organized, and detail-oriented Financial Services Assistant to provide administrative, client service, and operational support to a wealth management and business consulting firm.

This part-time, in-office position is located in Sea Tac, Washington. The ideal candidate takes initiative, follows through on assignments, communicates professionally, and is comfortable handling confidential financial and personal information.

Primary Duties and Responsibilities
  • Answer incoming telephone calls and communicate professionally with clients, prospects, vendors, and professional partners.
  • Schedule client meetings, portfolio reviews, prospect appointments, and follow-up calls.
  • Prepare the office, meeting room, documents, and materials for client meetings.
  • Assist with preparing and processing investment and retirement account applications.
  • Prepare account maintenance, beneficiary, transfer, distribution, and other service forms.
  • Send documents for electronic signature and monitor outstanding signatures.
  • Review paperwork for completeness and accuracy before submission.
  • Track account-opening, transfer, and client service requests through completion.
  • Maintain accurate client information, notes, tasks, and follow-up activities in the firm’s CRM system.
  • Gather and organize financial statements, account statements, tax documents, insurance records, and other client information.
  • Send, collect, and track risk questionnaires and financial-planning documents.
  • Assist with preparing client review reports, meeting materials, correspondence, and presentations.
  • Scan, name, file, and maintain confidential electronic and paper records.
  • Monitor recurring client service items and follow up on incomplete or outstanding requests.
  • Assist with retirement plan, business consulting, business valuation, and financial-planning projects.
  • Maintain prospect and referral-source records and assist with business‑development follow‑up.
  • Perform online research, spreadsheet preparation, data entry, and other administrative duties as assigned.
Required Qualifications
  • Employment is contingent upon successful completion of a background check.
  • Prior experience in an administrative, client-service, financial-services, accounting, banking, insurance, legal, or other professional office environment.
  • Professional fluency in written and spoken English sufficient to communicate clearly with clients, prepare accurate correspondence, understand financial documents, and follow written and verbal instructions.
  • Current authorization to work legally in the United States.
  • Strong verbal and written communication skills.
  • Excellent organizational and time‑management abilities.
  • Strong attention to detail and commitment to accuracy.
  • Ability to handle confidential information with discretion.
  • Professional telephone manner and client-service orientation.
  • Working knowledge of Microsoft Outlook, Word, and Excel.
  • Ability to learn new software, financial platforms, and office procedures.
  • Ability to manage multiple assignments and deadlines.
  • Dependable attendance and consistent follow-through.
  • Ability to work independently while recognizing when a matter should be referred to the advisor.
Desired Skills and Experience
  • Experience working for a wealth management firm, registered investment adviser, broker‑dealer, CPA firm, bank, trust company, retirement plan firm, or insurance agency.
  • Familiarity with investment, brokerage, IRA, Roth IRA, and retirement plan accounts.
  • Experience preparing account-opening and account‑maintenance paperwork.
  • Experience using CRM systems, electronic signature platforms, financial‑planning software, or custodian websites.
  • Intermediate or advanced Microsoft Excel skills.
  • Familiarity with Wealthbox, Docu Sign, Schwab, Pershing, Right Capital, Morningstar, Calendly, or similar systems.
  • Securities industry licensing, including the SIE, Series 7, Series 63, Series 65, or Series 66, is helpful but not required.
  • Education or experience in finance, accounting, business administration, economics, or a related area.
