SummaryEXP is seeking a resourceful Bookkeeper and Administrative Specialist to work with our leadership team to manage finances and internal processes. You’ll translate workflows into actionable plans, oversee cashflow, and be the behind‑the‑scenes engine, all while bringing an upbeat, collaborative spirit to our team. We are a team of 10-15 people generating low-volume, high dollar accounts.
Key Responsibilities:- Manage Accounts Payable (AP) paperwork, vendor onboarding, and payment scheduling.
- Support and maintain EXP’s AP/AR operational systems, including receivables tracking and standardized payment workflows to improve cash flow visibility and payment consistency.
- Maintain AR reporting, monitor outstanding receivables, and support client notifications for overdue invoices through Quick Books or approved billing tools, escalating issues to leadership as needed.
- Process check payments and maintain weekly/monthly AP tracking.
- Run biweekly payroll and maintain accurate payroll records.
- Track the Fixed Expense Budget monthly and maintain the Financial Scorecard.
- Maintain organized financial documentation and vendor files.
- Create and maintain financial reports and spreadsheets
- Own onboarding for employees, contractors, and vendors.
- Oversee general office operations, supplies, and administrative support.
- Serve as the first point of contact for internal administrative inquiries.
- Maintain SOPs, templates, workflows, and best‑practice documentation.
- 3–5 years in bookkeeping, accounting, and administrative operations
- Payroll processing experience, including recordkeeping and compliance basics
- Strong Google Sheets skills and ability to create formulas and reporting for budget tracking
- Experience with onboarding paperwork and other administrative tasks
- Experience building or maintaining SOPs/workflows from scratch
- Strong written communication and confidence in asking questions

$68k - $72k DOE,
Healthcare stipend, Parking, Balanced 40hr work week, 4 days/ week in office, Fridays remote is optional, 5 remote days a quarter, 4 weeks vacation. The best coffee in Seattle and all the La Croix you can drink.
