The Accounts Payable / Payroll Coordinator performs a full range of Accounts Payable and Payroll processing functions for assigned construction projects and company personnel. Controls all phases of data entry necessary for the accurate and timely processing of A/P, employee timecard collection, and payroll disbursements. Works closely with project teams, HR, employees, vendors, and subcontractors to confirm status or resolve issues related to invoices, pay applications, and payroll.

  • Review invoices and check requests.
  • Sort and match invoices and check requests.
  • Set invoices up for payment
  • Process check requests
  • Prepare and process accounts payable checks, wire transfers and ACH payments
  • Reconciliation of payments
  • Prepare analysis of accounts
  • Monitor accounts to ensure payments are up to date
  • Correspond with vendors and respond to inquiries
  • Produce monthly reports
  • Assist in month-end closing
  • Set up subcontracts and major purchase orders in the accounting system and post related change orders.
  • Receive, review, and distribute incoming invoices and pay applications to the project sites and/or route electronically for approval.
  • Post and scan approved invoices and pay applications to the accounting system in an accurate and timely manner.
  • Issue checks for vendor payment and mail checks to vendors and subcontractors as they are approved.
  • Work with vendors, subcontractors, and the project teams to resolve issues related to outstanding invoices and pay applications.
  • File and archive accounts payable documentation as required.
  • Collect, review, and verify weekly employee timecards and certified payroll records for accuracy and proper job-cost allocation.
  • Process regular, certified, and prevailing wage payroll in accordance with company schedules and labor laws.
  • Calculate and process payroll deductions, with holdings, garnishments, and employee benefits contributions.
  • Prepare direct deposit files, payroll ACH transfers, and manual live checks when necessary.
  • Reconcile payroll totals, generate payroll summary reports, and assist with month-end/year-end payroll reporting (including W-2 audit support).
  • Respond to employee and management inquiries regarding timekeeping, paychecks, paid time off (PTO), and payroll deductions.
  • Assist HR and Controller with payroll adjustments, employment verification requests, and payroll audits.
  • Performs other duties as required.
Required Experience and Technical Skills
  • Two or more years of Accounts Payable experience is required, preferably in the construction industry.
  • Payroll experience is preferred.
  • Self-starter with initiative and willingness to learn.
  • Must possess great organizational and interpersonal skills.
  • Detail-oriented and enjoys a teamwork environment.
  • Experience in Spectrum accounting software is preferred, but not required.
  • Experience and knowledge of Microsoft Office including Word, Excel, Outlook, etc.
  • Possess good computer skills and be trainable in any software package.
Required Education and Certification
  • Accounting degree is not required but successful completion of college-level accounting courses is an advantage.
  • Minimum 1-2 years of experience in an office environment, preferably with accounting exposure.
  • Superior numerical aptitude.
  • Good general business knowledge and knowledge of business terms and definitions.
