The Accounting Coordinator is a highly organized, detail-oriented team member who supports the Accounting Manager and helps keep the accounting function running smoothly. This role serves as a central point of contact between accounting, internal staff, vendors, and external partners - helping organize documentation, track follow-up items, and ensure financial information is accurate, complete, and timely.
Key Responsibilities:
- Serve as the liaison between the Accounting Manager and internal staff by fielding routine questions, routing requests, and resolving issues before they require escalation.
- Coordinate communication and workflow with external bookkeeping partners to ensure the accurate and timely exchange of financial information.
- Perform bookkeeping duties, including data entry, transaction coding, receipt matching, account reconciliations, and maintaining accurate records in accounting systems.
- Collect, organize, and submit receipts, invoices, expense reports, and supporting documentation.
- Coordinate the employee expense reimbursement processes, including tracking submissions, confirming approvals, and following up on missing information.
- Maintain organized and complete records for financial documentation, correspondence, vendor files, approvals, and audit support. Prepare reports.
- Place approved orders for residential site management needs and code purchases to the appropriate accounts/ properties.
- Place orders for office supplies, equipment, and other approved purchases.
- Track orders, manage deliveries, resolve vendor questions, and maintain professional vendor relationships.
- Coordinate purchasing requests, verify approvals, and confirm coding or allocation details when needed.
- Reconcile purchasing activity and ensure receipts, invoices, and supporting documentation are captured and filed appropriately.
- Support other accounting, administrative, and special projects as needed.
Qualifications:
- Minimum 2 years of relevant experience
- Prior experience in office administration, accounting support, bookkeeping, or a related coordination role.
- Working knowledge of basic accounting, bookkeeping, accounts payable, expense tracking, or finance operations.
- Exceptional attention to detail, accuracy, and follow-through.
- Strong written and verbal communication skills
- Discretion and sound judgment when handling confidential financial information.
- Proactive, service-oriented mindset with strong problem-solving skills.
- Comfort with standard office and accounting tools, including Excel and Quick Books; experience with property management firms is a plus.
- Associate or bachelor’s degree in accounting, finance, business, or a related field preferred; equivalent practical experience will be considered.
