VP of Administration

Our client is an established Seattle professional-services organization with a highly tenured team, strong client relationships, and significant fiduciary responsibility. They are seeking a VP of Administration to become a key member of the leadership team and provide oversight across finance, administration, operations, and Board support.

This is a unique opportunity for a seasoned finance and administration professional who enjoys being the person who keeps an organization running smoothly. The ideal candidate will bring strong accounting and financial acumen along with excellent judgment, discretion, organization, and interpersonal skills.

This is not a traditional Controller or HR leadership role. Rather, this position is ideal for someone who understands financials and accounting while also serving as a trusted, hands‑on resource for the broader administrative and operational needs of a small, sophisticated organization.

As VP of Administration, you’ll be responsible for providing senior-level oversight of financial operations, administration, office operations, and organizational support while partnering closely with senior leadership and the Board.

Essential Duties and Responsibilities Finance & Accounting
  • Review and oversee monthly and annual financial statements
  • Understand and evaluate balance sheets, income statements, cash flow, and other financial reporting
  • Oversee accounting functions including general ledger, AP/AR, payroll, reconciliations, and month‑end close
  • Support budgeting, forecasting, cash management, and financial planning
  • Coordinate with external CPAs, auditors, financial partners, and other professional advisors
  • Monitor financial controls and ensure accurate and timely reporting
  • Provide financial information and insight to senior leadership and the Board
  • Support oversight of investments, carriers, benefits‑related financial matters, and other fiduciary responsibilities
  • Identify financial issues or inconsistencies and ensure appropriate follow‑up and resolution
Administration & Operations
  • Serve as the senior administrative leader and day‑to‑day organizational resource for the office
  • Oversee office operations, facilities, vendors, and administrative services
  • Coordinate employee benefits, carriers, COBRA, and related administrative processes
  • Support payroll and other employee‑related administrative functions
  • Maintain strong relationships with vendors, professional partners, and service providers
  • Identify operational needs and ensure issues are resolved effectively
  • Maintain appropriate policies, procedures, records, and controls
  • Support office events, employee engagement, and organizational morale
  • Help ensure the office remains professional, organized, welcoming, and highly functional
Leadership & Board Support
  • Partner with senior leadership on organizational priorities and decision‑making
  • Prepare and organize materials for Board meetings and leadership discussions
  • Provide financial and operational reporting to leadership and the Board
  • Handle highly confidential information with discretion and sound judgment
  • Serve as a trusted point of contact for employees, leadership, and professional partners
  • Help maintain continuity, institutional knowledge, and organizational stability
  • Other duties as assigned
Qualifications
  • Significant progressive experience in accounting, finance, administration, or professional‑services operations
  • Strong understanding of financial statements, accounting principles, budgeting, cash flow, and financial reporting
  • Experience overseeing or managing accounting and administrative functions
  • Experience working in a small or mid‑sized organization where leaders are expected to be hands‑on
  • Exceptional organizational skills and attention to detail
  • Demonstrated ability to handle confidential and sensitive information
  • Strong judgment, common sense, and problem‑solving skills
  • Excellent written and verbal communication skills
  • High emotional intelligence and a collaborative, approachable leadership style
