Position OverviewWe are seeking an exceptional Administrative Specialist to join a prestigious law firm. This role is pivotal in ensuring that the Partner’s priorities are executed seamlessly, and that operations at the highest level of the firm run with precision. The ideal candidate thrives in a fast-paced, high-touch environment, anticipates needs before they arise, and brings both discretion and judgment to every interaction.
Key Responsibilities- Manage complex calendars, schedule meetings, and coordinate with internal and external stakeholders, including high-profile clients, opposing counsel, and court officials.
- Prepare, proofread, and finalize sensitive correspondence, presentations, and legal documents with accuracy and professionalism.
- Serve as the Partner’s gatekeeper and liaison, managing communications, screening calls, and ensuring timely follow-up on all priorities.
- Coordinate and manage national and international travel, client dinners, board meetings, and firm events.
- Provide comprehensive administrative support to attorneys, paralegals, and firm leadership.
- Manage calendars, schedule meetings, and coordinate client appointments, depositions, and court dates.
- Draft, edit, and format correspondence, legal documents, and reports with accuracy and attention to detail.
- Maintain and organize electronic and paper filing systems in compliance with firm policies and legal requirements.
- Answer and direct phone calls, greet clients, and manage daily office communications.
- Support billing processes by assisting with time entry, invoice preparation, and expense tracking.
- Coordinate travel arrangements, meeting logistics, and conference room scheduling.
- Assist with new client intake, conflict checks, and database updates.
- Serve as a liaison between attorneys, clients, court personnel, and vendors.
- 3+ years of administrative experience, ideally in a law firm or professional services environment.
- Strong organizational and multitasking skills with the ability to prioritize and meet deadlines.
- Excellent written and verbal communication skills with a professional demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with legal practice management software a plus (e.g. iManage, Clio, Netdocs, etc).
- High attention to detail, accuracy, and discretion when handling confidential information.
- Ability to work independently as well as collaboratively within a team.
- Prior experience supporting attorneys or legal staff in a law firm setting.
- Familiarity with legal terminology, filing procedures, and court systems.
