The Production Project Assistant provides comprehensive construction administration and project support to project managers throughout all phases of the project lifecycle. This position requires strong attention to detail, excellent communication skills, and proficiency in Microsoft Office (Project, Outlook, Excel, Word). Experience with Newforma, Salesforce, and Deltek is preferred. Ability to work independently, often under pressure, while possessing excellent written & oral communication skills.

Specific Duties:

  • Construction & Project Document Administration
  • Route, track, and manage RFIs, submittals, change orders, punch lists, and other construction documents.
  • Maintain accurate logs and ensure timely responses by coordinating with project managers and engineers.
  • Distribute, file, and organize project documentation in accordance with P2S and client standards.
  • Format, edit, and prepare large technical specifications and project-related documents.
  • Project Coordination
  • Provide administrative support throughout all project phases across multiple simultaneous projects.
  • Prepare and distribute Weekly Task Reports and manage project correspondence.
  • Create, maintain, and organize digital and physical project files.
  • Support contract administration, including submitting client contracts in Salesforce and preparing sub-consultant agreements.
  • Draft initial versions of proposal letters or correspondence for engineers to refine and finalize.
  • Support the project team with permit application and administrative documentation for plan check.
  • Maintain a highly organized workflow while managing multiple priorities and deadlines.
  • Communication & Client Support
  • Communicate professionally with clients, subcontractors, architects, building officials, site staff, and internal teams.
  • Prioritize and manage incoming/outgoing communication to ensure timely handling of tasks and requests.
  • Uphold strong written and verbal communication standards with exceptional attention to detail.

Requirements:

  • 5+ years of experience as a construction administration professional or project management
  • Prefer a Bachelor’s Degree in Architectural, Mechanical, Electrical Engineering, or related field
  • Proficiency with Adobe/Bluebeam and Microsoft Outlook, Word, and Excel
  • Proficiency with Electronic Document Management Systems such as Newforma or Procore
  • Demonstrated capability in coordinating with multiple design team members to manage construction-related correspondence
  • Ability to manage multiple assignments, shifting priorities, and frequent changes in procedures while maintaining accuracy and focus.
  • Demonstrated commitment to high‑quality work, with strong attention to detail, grammar, and document formatting.
  • Strong customer‑service mindset; anticipates and responds to internal and external client needs in a timely and professional manner.
  • Proven reliability and accountability—meets deadlines, follows through on commitments, and shows consistent punctuality.
