Description
The Operations Administrative Assistant plays a critical role in supporting the operations team by managing vendor documentation, monitoring job and quote statuses, and ensuring smooth administrative workflows. This position requires strong organizational skills, attention to detail, and the ability to work collaboratively across departments.
Responsibilities- Complete and process customer Vendor Packets accurately and timely to onboard and maintain customer/general contractor relationships.
- Review Jobs Not Invoiced regularly to identify discrepancies or delays and coordinate with relevant teams to resolve issues.
- Assist in maintaining accurate records and documentation related to operations processes and service platforms.
- Assist with general administrative tasks as needed to support the operations team.
- Communicate effectively with customers, vendors, internal teams, and management to facilitate smooth operations.
- Provide support to the Service Managers with administrative tasks
- Other duties as assigned.

Qualifications- Proven experience in an administrative or operations support role.

- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks and prioritize effectively.
- Experience with vendor management and invoicing processes.
- Familiarity with job tracking and quoting systems.
- Problem-solving mindset and proactive approach to operational challenges.
