Overview
Hansell Tierney is assisting our client, a regional insurance agency in the South Sound area of Washington State, with their search for an Office Administrator to join their growing team.
Role Overview
The Office Administrator serves as the central administrative and operational support for a small, client-facing office. This is an in-person role that acts as a key point of contact for clients while also owning the day-to-day administrative functions that keep the office running smoothly.
This role is well suited for someone who enjoys variety, takes pride in being organized, and can work independently in a fast-moving, small-office environment. You will support client interactions, maintain office systems and workflows, and provide dependable administrative support to the broader team.
The Office Administrator follows established processes while also helping identify opportunities to improve, streamline, and document workflows as the office evolves. No two days look exactly the same, and this role plays a meaningful part in creating a professional, welcoming, and well-run office.
Responsibilities- Serve as a primary point of contact for clients, creating a warm, professional in-office and phone experience.
- Greet and assist clients, answer phones, respond to emails, and support day-to-day client communications with accuracy and professionalism.
- Schedule appointments and ensure meetings are accurately entered and maintained in scheduling systems.
- Manage client intake processes, including preparing intake materials, completing accurate data entry, and maintaining organized client records in internal systems.
- Support office communications such as client emails, confirmations, general outreach messages, and internal coordination.
- Follow existing standard operating procedures and assist in building, improving, and documenting workflows as office needs change.
- Manage basic social media coordination, including maintaining posting schedules and creating simple office or educational updates as needed.
- Monitor office supplies and inventory, placing orders and coordinating vendors as appropriate.
- Take ownership of administrative projects and provide flexible, dependable support across office operations.
- Collaborate with team members to resolve basic client questions and support smooth daily operations.
Required Skills and Experience
- Have experience in an administrative, office support, or similar role.
- Are comfortable working in person and serving as a professional, welcoming presence for clients.
- Are highly organized, reliable, and able to manage multiple priorities throughout the day.
- Have strong written and verbal communication skills for working with clients and colleagues.
- Are detail-oriented and take pride in maintaining accurate records and organized systems.
- Are comfortable using office technology and learning new tools such as scheduling platforms, CRM systems, Microsoft Office, and basic social media tools.
- Can follow established processes while also contributing to improvements and documentation.
- Are able to work independently while collaborating closely with a small team.
- Bring a flexible, positive attitude and are willing to step in where needed to support the office.
Location: South Sound WA,LOCAL CANDIDATES ONLY
Estimated Compensation Range: $25-$30 per hour depending on experience. All experience levels encouraged to apply!
