Administrator I – Overview

King County Metro Transit’s Rail Division is seeking an Administrator I to provide complex and critical administrative support. The role requires a strong community builder with emotional intelligence, humility, and a growth mindset, fostering collaboration and connection with people. Job Duties
  • Provide complex administrative support, acting as delegated authority for day‑to‑day tasks.
  • Manage complex calendars and organize meetings and events, preparing materials, agendas, and notes.
  • Prepare, format, review, and edit formal and informal communications, policies, and documentation on behalf of managers or work groups.
  • Track project deadlines and coordinate with internal staff and external partners, compiling supporting documentation.
  • Maintain confidentiality and apply policies and procedures, earning the trust and respect of co‑workers.
  • Screen calls, emails, meeting requests, and visitors to provide exceptional customer service.
  • Prepare and track forms for personnel transactions, grievances, requisition forms, purchase orders, partner agency agreements, and expense reports.
  • Collaborate with the team to develop, implement, and maintain processes for legislation, onboarding, record retention, signature routing, correspondence, interagency agreements, invoices, and training plans.
  • Coordinate travel and training for managers and staff.
  • Maintain and update data and materials using MS Word, Outlook, Teams, SharePoint, PowerPoint, Excel, Visio, and specialized database systems such as Oracle EBS or People Soft.
  • Order and track office supplies, manage inventory, and coordinate contractor repairs or replacements as needed.
  • Perform other duties as assigned.
Minimum Qualifications
  • Minimum of two years delivering comprehensive administrative support and executing advanced administrative tasks in a large organization or complex professional setting, or equivalent education and experience.
  • Ability to manage a high volume of diverse assignments and competing priorities in a fast‑paced, dynamic environment.
  • Exceptional written and verbal communication skills across diverse audiences.
  • Independent work and strong organizational skills with sound judgment and discretion.
  • Background handling sensitive and confidential information with professionalism, discretion, and integrity.
  • Strong interpersonal skills with a customer‑focused mindset and ability to build equitable relationships.
  • Skill in comparing records, documents, and data for accuracy and researching discrepancies.
  • Demonstrated initiative and proactive approach to improving work processes.
  • Proficiency in coordinating virtual meetings across Zoom, Microsoft Teams, etc.
Desirable Qualifications
  • Intermediate experience with Docu Sign, Microsoft Office Suite, Visio, Power

    BI, and Adobe Pro.
  • Experience in a unionized environment with knowledge of union contracts and grievance tracking systems.
  • Knowledge of People Soft or similar payroll/time‑keeping software.
  • Experience navigating complex situations in a large organization.
  • Experience with Concur Travel Software or similar.
  • Experience with Oracle or other financial software.
