Senior Administrative Assistant – Seattle University

Seattle University is seeking a Senior Administrative Assistant to support the Catholic Schools Teacher Corps. The Catholic Schools Teacher Corps is a program launched in 2024 that recruits and places new Catholic school teachers in local Archdiocesan schools, with participants pursuing a master's in education at Seattle University over two years.
Responsibilities- Administrative & Executive Support (30%):
Supporting calendaring and providing basic administrative support to the director; office reception and coordination of office supplies; knowledge/ability to learn Microsoft Office Suite programs; other duties as assigned by the director. - Stakeholder Communication & Marketing Support (25%):
Serving as a point of contact for external and internal partners for the program; assisting with program marketing and communications. - Record-Keeping & Document Management (20%):
Assisting with the tracking and updating of key records, memoranda of understanding, and other documents; assisting with record-keeping related to program participation, partner schools, and alumni. - Event Coordination & Logistics (15%):
Periodic event coordination (reserving rooms, arranging catering, securing parking passes, etc.). - Budget & Financial Administration (10%):
Assisting with budget tracking and Pro Card reconciliation.
- HS Diploma or equivalent with three years of administrative office support experience or an equivalent combination of education and experience sufficient to perform the essential duties.
- Proficiency in Microsoft Office programs (Word, Excel, Windows, Outlook, Teams) and Internet browsing.
- Ability to communicate effectively in writing, by phone, and in person.
- Excellent customer service skills and ability to work with diverse populations.
- Ability to establish and maintain professional rapport with current, prospective, and former students, faculty, staff, and administration; maintain a calm, effective presence in a fast-paced environment; organize, prioritize, and manage multiple tasks.
- All positions require a criminal history background check.
- Bachelor's degree.
- Experience working in an academic environment.
- Experience with social media and marketing.
- Familiarity with Catholic educational institutions.
