Summary
Established in 2024, the Capital Delivery Section of the Water and Land Resources Division works with individuals, communities, non‑profits, tribal entities and other governments to deliver world‑class stormwater management, flood risk reduction, habitat restoration, and fish passage projects. The Administrative Specialist III supports the section and leadership team, providing a broad range of administrative services such as budget support, process improvement, and general administrative functions for the section.
AboutThe Role
Administrative Specialist III responsibilities include supporting the Section Manager, support staff, Unit Supervisors and unit work groups. Duties focus on budgeting, financial requests, problem solving, process improvement, and general administrative functions for the section.
This position follows a hybrid work model, blending remote and in‑person work.
Job Duties- Support general purchasing and invoicing needs, including expense and mileage reimbursements for employees, and process transactions in the Oracle software system. Assist with equipment and asset tracking and inventory.
- Compose, prepare, draft, summarize, proofread and edit a variety of documents to ensure conformance with English language requirements and county standards. Perform word‑processing tasks, mail merges, legal document production, and maintain mailing lists and boilerplate documents. Route documents for electronic signature via Docu Sign and Adobe Acrobat.
- Utilize Microsoft Office 365 (SharePoint, Teams, Outlook) to organize electronic records such as maintenance records, capital project files, contracts, budgets, grants, payroll, and legal documents. Archive inactive records in King County’s Content Management System according to records retention policies. Assist in process improvements and staff training on these systems.
- Provide customer service support to administrative services team, responding to public inquiries, onboarding new employees, and addressing staff inquiries regarding internal processes and procedures.
- Support Capital Delivery Section meetings: preparation, transcribing, note‑taking, scheduling assistance for meetings such as Annual Large Wood, Cedar River Council, and community open houses.
- At least three years of general office experience providing administrative, technical, clerical and customer service support in a fast‑paced environment.
- Ability to take initiative, plan, prioritize, and delegate workload while adapting to changes in a high‑pressure environment.
- Ability to work and make decisions as a flexible member of a team while managing schedules of other staff.
- Demonstrated effective written and verbal communication skills, resolving problems and building trust.
- Experience in purchasing, reconciling financial expenses and invoicing.
- Skillful support in preparation for sections and public meetings, including scheduling, coordination, communication and material preparation.
- Basic working knowledge of Microsoft Word, Excel, PowerPoint, Teams, and Outlook.
