DSHS HCLA Office Manager

The Economic Services Administration (ESA) is hiring for an Office Manager position within the Division of Child Support (DCS). This position provides facility management and support for the Yakima Field Office; administrative support for the District Manager, monitors and ensures ongoing compliance with controls as documented in corrective action plans, oversees day‑to‑day compliance and reporting relating to Safe Start protocols, provides on‑site IT gap support, and customer service teams in the DCS Yakima office.

The Office Manager also performs annual equipment inventories, completes self‑assessments relating to federal IRS 1075 requirements, works with Leased Facilities Unit (LFU), building management and co‑located agencies with ongoing issues. This can include space configurations, taking the lead in tasks related to office design and cube space with attention to building codes, space standards, employee safety, security, and ADA compliance. You'll also provide facility management and direct support to the District Manager (DM), enabling the success of other managers, supervisors, and staff.

This is a hybrid telework position with at least 1 day per week in the office. The schedule is Monday to Friday from 8:00 AM – 5:00 PM.

Some of what you'll do:
  • Serves as the Administrative Assistant to the DCS Yakima Field Offices Appointing Authority to establish procedures, interpret and apply administrative policies to the work of the field office for multiple counties and tribes.
  • Coordinates with other departmental staff members on administrative practices and procedures.
  • Prepares confidential documents regarding personnel actions in conjunction with the Appointing Authority and Human Resources.
  • Represents supervisors in communication with employees regarding confidential personnel information.
  • Provides daily local management/monitoring of building operations; maintenance/repair and janitorial for DCS staff. Liaison with property management and day porter to relay problems.
  • Coordinates multiple aspects of day‑to‑day facility use.
  • Manages office administrative operations including development and management of the administrative budget.
  • Management team representative to the complex Safety Committee and agency liaison for all fire drills.
  • Purchasing office supplies and paying accounts payable.
  • Doing time and attendance work with Human Resources.
  • Doing asset management work with IT.
  • Updating organization charts, phone lists, and other records management tasks.
Desired skills, knowledge, and abilities:
  • Extensive experience with office organization, methods, and management principles in both large and multiple locations.
  • Modern methods of performing various kinds of clerical work and of measuring work production, office materials, supplies, and equipment.
  • Inventory control and records management; supervisory techniques.
  • Ability to plan, organize, and supervise central office service units; assign, review, and coordinate work production.
  • Be able to develop procedures for most effective utilization of space, equipment, and personnel.
  • Establish and maintain effective relationships with persons contacted in work.
  • Ability to prepare clear, concise, and factual reports.
Who should apply?

  • A bachelor’s degree with major study in business administration or a closely related field and one year of supervisory experience that includes planning, organizing, and coordinating work in a business office.
  • One year of state service as an Administrative Assistant 2, Human Resource Assistant 2, or Data Compiler 3, or two years of state service as an Administrative Assistant 1 or Human Resource Assistant 1, or equivalent experience that includes supervisory or office management responsibilities.
  • Five years of professional or practical experience with responsibility for planning, organizing, and coordinating work in a business office.
