Legal Secretary
We are seeking an Immigration Assistant to join our Labor and Employment department in our Seattle office. As a valued team member, you will provide a broad range of administrative support to attorneys and paralegals.
Do you enjoy working in a fast-paced team environment with a variety of projects? If so, we would appreciate hearing from you. This is an in‑office position, and the work hours are 8:30 a.m. to 5:00 p.m., Monday through Friday.
In this role, you will:- Process incoming government correspondence, ensure notices are accurately saved in the document management system.
- Assist with sending approval notices and other correspondence to clients.
- Review and organize documents received from clients.
- Create and update document indices.
- Assist with drafting petitions, compiling exhibits, and related correspondence.
- Research and coordinate the collection of outstanding documents.
- Perform prevailing wage level analysis for Labor Condition Applications.
- Research and gather citations for analyses to include in support letters.
- Accurately assemble petitions and applications for filing with USCIS.
- Prepare shipping labels; ship and track packages to ensure delivery; resolve delivery exception issues.
- Assist attorneys and paralegals with submitting Service Requests to USCIS for petitions that are outside normal processing times.
- Assist with various database projects, including uploading documents and adding key dates to the case management system.
- Prepare and send Public Access Folders.
- Assist legal assistants as needed with overflow proofreading, printing, new matter intakes and document processing.
- Assist with time entry review.
- Coordinate logistics for relevant meetings, including scheduling conference rooms, and arranging for lunches, as needed.
- Prepare expense reports and process vendor invoices.
- Scan and photocopy documents.
- Proofread documents.
- May perform other duties not listed above.
- High School diploma or G.E.D. equivalent.
- At least 1 year of administrative support or related experience.
- Accurate typing skills.
- Good oral and written communication skills.
- Ability to work effectively with all levels of personnel.
- Attention to detail and accuracy.
- Analytical ability and strong organizational skills.
- Strong customer/client service focus and skills.
- Ability to adhere to deadlines.
- Ability to maintain client and firm confidentiality.
- Ability to work independently and in a team environment.
- Working knowledge of Microsoft Office suite.
- Experience working in Immigration.
- Willingness to learn new computer software and customized databases.
- Previous law firm or other professional services experience.
