LOCATION: BELLEVUE
The Construction Administrator manages subcontractor’s insurances, waivers, liens and collaborates with the Accounting Department, Project team, Risk Management, and Legal teams to identify potential risks on non‑compliant vendors. The Administrator is responsible for ensuring that contract requirements are met prior to releasing vendor payment and facilitates submissions of required documents and inquiries from subcontractors, including sub‑tiers.

- Manage procurement, reviews, and validate sub‑contractor’s insurances (Professional Liability, Errors or Omissions, General Liability, Automobile Liability, Excess Umbrella Liability, and Worker’s Compensation)
- Maintain insurance certificates in GC Pay and internal database
- Coordinate non‑compliant insurance and waiver requirements from sub‑contractors including sub‑tiers with Risk Management
- Validate sub‑contractor and sub‑tier waivers (Conditional/Unconditional Progress and Final Release)
- Maintain waivers in GC Pay and internal database
- Manage outstanding mechanic liens from sub‑contractors including sub‑tiers
- Facilitate resolution of mechanic liens with the Legal Department
- Manage filed preliminary notices from sub‑contractors including sub‑tiers
- Maintain preliminary notices in GC Pay and internal database
- Prioritize and manage multiple projects simultaneously and follow through on issues
- Coordinate entry of waivers, vendor, sub‑tier, supplier preliminary notices and insurance certificates and follow‑up
- Prepare conditional and unconditional waivers for lenders’ monthly draw requests and follow‑up on missing items
- Verify current insurance and waivers from vendors, sub‑tiers, suppliers on file; follow‑up on missing items
- Prepare waivers for checks to be issued
- Enter check information in outstanding check log for approval and follow‑up on clearance
- Handle internal communication via telephone and email inquiries
- Facilitate construction contracts with Project Coordinator and Project Managers across trades
- Facilitate change orders with Project Coordinator and Project Managers
- Track and log all contracts, change orders, business licenses, LNI compliance letters, insurance, etc. to ensure all stay current
- Organize and support Project Managers and Coordinators with meeting scheduling, letters, document preparation, contract signatures, invoicing, minutes, etc.
- Prepare various construction documents, send out letters and general communication to trades and Site Superintendents
- Oversee and coordinate administrative functions of the corporate office to ensure smooth operation
- Coordinate with administrative staff in various ONNI offices to ensure most current standards are followed
- Occasional travel may be required
- Perform other duties as required
- 2+ years construction administration experience
- Experience in construction industry and in compliance, strongly preferred
- Strong knowledge of MS Office (Word, Excel, PowerPoint, Outlook)
- Excellent verbal, written, and keyboard skills
- Attention to detail and ability to multitask in a fast‑paced environment
- Strong prioritization and project management skills; follow‑through on issues and deadlines
- Strong initiative and problem‑solving abilities
- Outgoing, personable, and able to relate well with diverse populations and age groups
