Overview
At PNNL, our core capabilities are divided among major departments that we refer to as Directorates within the Lab, focused on a specific area of scientific research or other function, with its own leadership team and dedicated budget.
Our Science & Technology directorates include National Security, Earth and Biological Sciences, Physical and Computational Sciences, and Energy and Environment. In addition, we have an Environmental Molecular Sciences Laboratory, a Department of Energy, Office of Science user facility housed on the PNNL campus.
The Energy and Environment Directorate delivers science and technology solutions for the nation’s biggest energy and environmental challenges. Our more than 1,700 staff support the Department of Energy (DOE), delivering on key DOE mission areas including modernizing our nation’s power grid to maintain a reliable, affordable, secure, and resilient electricity delivery infrastructure; research, development, validation, and effective utilization of renewable energy and efficiency technologies that improve the affordability, reliability, resiliency, and security of the American energy system;
and resolving complex issues in nuclear science, energy, and environmental management. The Earth Systems Science Division, part of the Energy and Environment Directorate, provides leadership and solutions that advance Earth system opportunities for energy systems and national security. We are a multidisciplinary division connected by a shared commitment to innovate and collaborate towards solving complex problems in the dynamic Earth system.
This Associate Administrative Coordinator position provides administrative and office support with an emphasis on project coordination support. This role supports day-to-day operations by managing schedules, communications, and logistics, while also helping keep project work organized through tracking, reporting, and preparing required materials. The ideal candidate is detail-oriented, responsive, and comfortable coordinating across internal teams and external stakeholders.
Additional responsibilities include but are not limited to:
- Perform administrative and office support activities to ensure smooth daily operations.
- Manage calendars and scheduling for meetings, working sessions, and project touchpoints.
- Coordinate travel and logistics as needed.
- Providing user support on a programmatic support email & phone line.
- Prepare and format documents, including word processing, meeting agendas, notes & action item logs.
- Organize and maintain required project documentation.
- Prepare presentations and materials for internal and external meetings.
- Coordinate timely completion and submission of all monthly, quarterly, and annual reporting.
- Coordinate onsite and offsite meetings for sponsors.
- File and maintain organized electronic records in accordance with team standards.
- Field and route questions from internal team members and external stakeholders; ensure timely responses or escalation.
- Support additional duties as assigned based on the needs of the division/directorate.
- Setting an example for positive working relationships with co-workers.
This position is based in Richland, WA or Seattle, WA and requires an onsite presence Monday through Thursday, with Friday as required by business needs.
QualificationsMinimum Qualifications:
- High school diploma/GED and 2 years of relevant experience in a clerical or administrative environment.
Preferred Qualifications:
- Strong written & oral communication skills.
- Experience with scheduling or managing calendars.
- Experience supporting daily team operations using Microsoft 365 tools, including advanced use of Teams and Copilot, SharePoint, Microsoft Planner task tracking, and creating basic automated workflows in Power Automate.
- Ability to perform routine technical and administrative tasks such as updating shared resources, coordinating workflow processes, troubleshooting simple software issues, and helping teams streamline collaboration through Microsoft productivity tools.
This position requires the ability to obtain and maintain a federal security clearance.
