The Administrative Assistant serves as a key business integrator supporting the IT Department of a Fortune 500 organization. This role provides coordination across leadership, business operations, business development, and technical teams to ensure efficient operations and continuous improvement. The position is responsible for maintaining critical administrative and operational processes that support business continuity, financial accuracy, and readiness for internal and client engagements.
This role delivers ongoing, specialized support essential to the daily functioning of the IT organization, contributing to operational efficiency, cost accuracy, and effective knowledge management.
ResponsibilitiesSeattle Office & IT Department Support
- Oversee daily office operations for the Seattle location, ensuring a safe, functional, and efficient environment that supports hybrid and in-office work models.
- Manage office logistics including inventory, procurement, safety supplies, parking coordination, accessibility needs, deliveries, and conference room scheduling.
- Coordinate logistics and hospitality for internal stakeholders, client visits, and VIP guests, ensuring a professional and seamless experience.
- Serve as the first point of contact for IT support coordination by submitting, tracking, and following up on service tickets to maintain system continuity.
Operational & Administrative Support
- Administer the company timekeeping system, ensuring accuracy in employee time entries, correction of project or billing discrepancies, and readiness for billing cycles—supporting accurate revenue recognition and compliance.
- Support resource management for IT and Business Operations by assisting with staffing coordination, workload tracking, and utilization balancing.
- Generate project and internal requisitions and monitor related expenditures to support budgeting, financial tracking, and cost control.
Schedule:
This is a part-time position, approximately 20 hours per week, scheduled Monday–Friday between standard business hours (8:00 AM–5:00 PM).
