This full‑time, in‑person position is located in Seattle, WA and reports to the Black Sky Administration Operations Manager.
Responsibilities- Run the daily office operations for the Seattle location in a professional, service‑focused manner.
- Maintain a clean, safe, and organized workspace and common areas.
- Greet visitors with warm hospitality and complete the guest registration process.
- Receive mail, package shipments, and deliveries and distribute mail to recipients.
- Answer the main office phone line.
- Order and maintain inventory of drinks, snacks, and office supplies.
- Coordinate with building management and vendors on facilities and maintenance issues.
- Manage internal operational systems including keycards, parking, and all facilities.
- Host candidates during in‑office interviews and customers or partners for tours, ensuring a great experience.
- Plan and attend company local events and quarterly events.
- Run errands to support miscellaneous events and activities, using reliable transportation.
- Ensure all white boards are cleared at the end of every shift.
- Coordinate catering as required (ordering, set up, and takedown).
- Evaluate potential new vendors and office improvements to maintain a clean, safe, and organized office.
- Create and maintain office reference material inclusive of visitor processes and ensure adherence to guidelines.
- Stand, squat, reach, and lift up to 50 lbs as required.
- Serve as escalation point for building access and maintenance matters, including off‑hours, evenings, and weekends.
- Handle confidential information with discretion.
- Develop and implement administrative policies and procedures.
- Manage internal and external communications in a timely manner.
- Provide coverage at the Tukwila office during peak periods, team absences, or operational requirements.
- Perform other job‑related duties as assigned.
- At least five years of relevant experience providing administrative office support.
- Ability to work in a full‑time, in‑office environment.
- Previous exposure to event planning and management.
- Proficient with Microsoft Office Suite, especially calendar management.
- Ability to navigate new software tools such as Slack, Confluence, and SharePoint.
- Strong written and verbal communication skills.
- Friendly and welcoming with a customer‑service orientation.
- Highly dependable, punctual, and responsible.
- Reliable transportation to Seattle and Tukwila offices and for outside‑of‑office tasks.
- Experience with basic facility management, including vendor management and security protocols.
- Associate or bachelor’s degree.
- Experience working in an access‑controlled environment.

The anticipated salary range for candidates in Seattle, WA is $78 000–$84 000 per year. Final compensation will depend on specific background and education.
