Overview

Washington State Court of Appeals (COA) Division I is looking for a detail-oriented, motivated professional to join our team. As the Judicial Administrative Assistant, you’ll act as confidential administrative assistant to a judge of the Court of Appeals. Works under minimal supervision with discretionary decision-making responsibilities within their area of expertise. Exercises independent judgement while assisting a judge with the court’s operation and at the direction and control of the judge, may assist with other court functions.

Responsibilities
  • As a confidential administrative assistant to a judge of the Court of Appeals, process letters, orders, opinions and other correspondence. Answer telephone inquiries, develop procedures to facilitate management of the judge’s office, keep the judge informed of significant items requiring review or action, call attention to deadlines, maintain files of correspondence and records. Provide support to the judge for committee work and assist in preparation of presentation materials.

    Assist the judge in monitoring continuing judicial education requirements.
  • Maintain judge’s brief packets for cases set for oral argument, manage records of the judge’s dockets and writing assignments; track the date of oral argument, distribution, signing and issuance of opinion; track petitions for review to the Supreme Court. Prepare work files for writing assignments. Arrange conference files, index and arrange opinions, writs, and petitions for rehearing; remove documents from case files and dispose of them properly.

    Maintain and manage electronic case files for the judge.
  • Process drafts of opinions, edit and proofread for errors, duplicate and circulate draft opinions to the panel for review.
  • Finalize opinions and process them for the judge’s signature. Verify all case citations and quotations for accuracy, check facts against the trial court record, ensure proper grammar, edit for errors, and ensure adherence to prescribed style and legal terminology. Address errors raised in the appellant’s brief in the opinion.
  • Check advance sheets for accuracy of opinions and notify the publishing authority of changes; circulate headnotes from publisher to law clerks and judge to check for accuracy. Verify proposed opinion edits with the Office of the Reporter of Decisions.
  • Oversee chambers staff; provide orientation to law clerks and judicial externs regarding policies and procedures; monitor and manage law clerk benefit time usage; maintain relationships with staff attorneys, law clerks, and judicial externs in finalizing work; arrange meetings and coordinate workflow as directed by the judge.
  • Work with the clerk’s office on office procedures and judicial docketing; ensure the record is complete on set cases and that the complete record is returned to the clerk’s office upon filing the opinion.
  • Monitor and manage motions before the judge; draft proposed orders for motions at the judge’s direction.
  • Process all orders pertaining to personal restraint petitions.
  • Maintain the judge’s law library, including filing and indexing volumes, supplements, and periodicals; correspond with the Washington State Law Library to order books.
  • Arrange transportation and travel accommodations for the judge and prepare travel vouchers. Register the judge for attendance at events, schedule tours and presentations, organize receptions, and coordinate staffing of events with court personnel.
  • As a Judicial Administrative Assistant to the Chief Judge or Presiding Chief Judge: monitor filing of opinions; maintain records on motions circulated to a panel of judges for consideration, including certain motions; arrange pro tem judge activities and schedule meetings and appointments as representative of the Court.
