Hospitality and Office Services Specialist
Seattle, WA (Onsite)
4+Month Contract (temp to perm)
M-F (8:30 AM - 5:00 PM)

Seeking an On-Site Services Specialist to support day-to-day operations in a professional legal office environment. Responsibilities include document production, mail services, hospitality support, shipping and receiving, office services, and customer support. This position requires strong attention to detail, excellent customer service skills, and the ability to work with high-volume office equipment and document management systems.

Responsibilities
  • Operate high-volume copiers, printers, scanners, document imaging equipment, and related software.
  • Perform copying, printing, scanning, binding, finishing, quality control, and final document review.
  • Open, save, transfer, retrieve, and manage files using Microsoft Office, email, and document management systems.
  • Process incoming and outgoing mail, packages, faxes, shipping, receiving, and postage requirements.
  • Maintain copier areas, perform daily equipment inspections, clear paper jams, and coordinate service requests.
  • Respond to customer inquiries regarding job status, service requests, and project feasibility.
  • Maintain service logs, meter readings, inventory records, billing logs, and supply levels.
  • Distribute mail, office supplies, and completed work to designated locations.
  • Set up meeting and conference rooms and provide hospitality support.
  • Perform filing, document archiving, records management, and document purging activities.
  • Support office moves, light maintenance, re-lamping, housekeeping, and other facility-related tasks as assigned.
  • Operate bindery and finishing equipment including paper cutters, hole drills, joggers, tape machines, staplers, shrink-wrap machines, stackers, scales, postage meters, and related office equipment.
  • Travel between customer locations or buildings as needed.
  • Assist with special projects and perform additional duties as assigned.
Requirements
  • High school diploma or GED required.
  • 1 2 years of experience in office services, document production, copy/print services, hospitality, customer service, mail services, or a related field.
  • Experience in a legal office environment and document production preferred.
  • Strong hospitality and customer service experience.
  • Proficiency with Microsoft Office, email systems, and basic PC applications.
  • Experience using document imaging and document management systems preferred.
  • Strong organizational, communication, mathematical, and filing skills.
  • Ability to prioritize tasks, follow established procedures, and work independently.
  • Ability to troubleshoot basic office equipment issues and coordinate repairs when needed.
  • Valid driver's license required and ability to drive after conversion.
  • Ability to lift up to 50 55 lbs. and perform frequent standing, walking, bending, reaching, stretching, and similar physical activities.
  • Ability to work occasional overtime, including evenings, weekends, and off-hour emergency support when required.
  • Business casual professional appearance.
  • Ability to attend an in-person interview.
