Facility Services Coordinator
BGIS is a leading provider of integrated real estate management services, hiring a Facility Services Coordinator to join our team in Seattle, WA. This role is on‑site.
Responsibilities- Meet and greet clients and visitors
- Act as the first point of contact for all incoming phone queries, managing requests and room bookings within the virtual service center model, including lodging work requests using the internal system
- Assist the internal site management team as the conduit for client requests and other required requests
- Assist with visitor and contractor escorts, instruction and supervision as required
- Manage the collection and distribution of internal and external mail and courier deliveries
- Manage the delivery of consumables to refresh areas
- Support the provision of building access cards to staff and contractors
- Support meeting room requirements (e.g., room reconfigurations and catering provisions)
- Perform administration duties as required
- Invoicing, receipting and reconciliation
- Data entry and records management
- Work order management
- Maintain distribution lists
- Backup for receptionist during lunch and PTO
- Submit and monitor work orders with landlord
- Process Fed Ex packages
- Submit and monitor work orders for the lab building
- Perform 1‑tier support for printer and plotter issues
- Perform scheduled preventive maintenance checks of first aid kits, AEDs and fire extinguishers
- High School or GED required
- Experience in a customer service center environment
- Demonstrated understanding of customer service principles
- Experience working with internal and external stakeholders at varying levels of an organization
- Professional telephone manner: listening, questioning, empathy, clear client outcome and professionalism
- Attention to detail and grammar
- Proficient in Word, Excel, Outlook and Internet access; good keyboard skills, speed and accuracy
- Ability to respond quickly to change and adopt a flexible, innovative approach to problems and opportunities
- Knowledge of HSE policies and procedures met and maintained by all stakeholders
Salary range: $22.50 per hour.
