Job Overview
We are hiring a Senior Executive Assistant to support four Vice Presidents in a dynamic, fast‑paced environment. The successful candidate will be highly organized, proactive, and able to manage a wide range of administrative tasks.
The role requires a tech‑savvy individual who can utilize tools such as Slack, Zoom, and ideally Confluence to facilitate online meetings and communications. On‑site office support is required three days a week, with flexibility to work outside regular hours, including 10 am – 7 pm shifts two to three days a week, to accommodate executive needs. The assistant will also plan and coordinate events and act as a liaison between executives and stakeholders, maintaining confidentiality.
We seek someone with 3–5 years of experience supporting executives, demonstrating a sense of urgency, strong accountability, and excellent communication skills. A tech‑proficient, creative problem solver with a flexible and adaptable mindset is ideal. A bachelor’s degree is preferred but not mandatory.
Key Responsibilities- Provide full administrative support, including calendar management, travel arrangements (domestic and international), meeting coordination, and expense management for four executives.
- Leverage modern technology and software to communicate with executives and facilitate large online meetings. Utilize chat and web‑conferencing tools such as Slack and Zoom. Knowledge of Confluence is desirable.
- Work from the office three days a week, supporting local office events, initiatives, and activities. Flexibility to handle calendar support outside business hours as required.
- Plan several annual events, including managing space and desk assignments, travel itineraries, accommodations, logistics, and catering.
- Act as a point of contact between supported executives and internal/external stakeholders. Handle communications with professionalism and diplomacy, maintaining confidentiality and managing sensitive information.
- Minimum 3–5 years of relevant experience supporting executives and/or coordinating critical events or projects in a fast‑paced, global environment.
- Demonstrated ability to manage multiple tasks simultaneously, prioritize effectively, and respond to high‑pressure situations with speed and precision.
- Highly organized with a strong sense of ownership and accountability. Able to manage deadlines and ensure deliverables are met.
- Proficient in Microsoft Office Suite, including PowerPoint, and video conferencing platforms. Ability to quickly learn new tools and technologies.
- Strong problem‑solving skills with a creative mindset to find innovative solutions to complex challenges.
- Exceptional written and verbal communication skills, able to engage professionally across all levels of the organization.
- Proven ability to handle sensitive and confidential information with discretion and professionalism.
- Flexible and resilient, capable of adjusting to shifting priorities and an ever‑evolving workload.
- Experience working in a professional services environment.
- Comfortable working across different time zones and managing international communications and travel arrangements.
- Bachelor’s degree in Business, Communications, or a related field is preferred.

Hiring range in USD from $27.07 – $54.13 per hour; $56,300 – $112,600 per year. Eligible for equity.
