Job Description & How to Apply Below

Full-Time | $24 per hour | Seattle, WA

We are a small, specialized medical practice seeking an experienced, personable, kind, empathetic, and highly organized Insurance Coordinator & Receptionist to join our team. This role is ideal for someone who thrives in a patient‑focused environment, communicates clearly, and takes initiative without needing constant direction.

You will be the first point of contact for our patients — many of whom have low vision or blindness — and a key support to our clinical staff. If you are dependable, attentive, and enjoy keeping an office running smoothly, we’d love to meet you.

What You’ll Do
  • Request prior authorizations and prescriptions for upcoming services and appointments.
  • Schedule, confirm, and manage patient appointments, including maintaining a cancellation/waitlist and filling openings promptly.
  • Enter and update patient demographics and prosthetic eye information in our electronic practice management system.
  • Answer incoming calls and route messages to the appropriate staff.
  • Send and receive correspondence, medical records, and documentation via phone, email, mail, or fax.
  • Welcome patients, check them in, escort them to exam rooms, and notify the provider when they are ready.
  • Assist low vision and blind patients safely between the waiting room, exam rooms, restroom, and building lobby; provide wheelchair assistance when needed.
  • Prep and sanitize patient rooms after each visit.
  • Prepare patient receipts, letters, and simple reports using standard office software.
  • Monitor and organize office supplies; notify the Office Manager when items need to be reordered.
  • Travel to our Tacoma satellite office once per month.
What Makes You a Great Fit
  • Strong multitasking ability in a busy medical environment
  • Excellent attention to detail
  • Self-sufficient and proactive — you notice what needs to be done and do it
  • Friendly, patient focused, and professional
  • Confident communicator with patients and staff
  • Strong problem-solving skills
  • Comfortable working both independently and as part of a small team
  • A working knowledge of computers, including Microsoft word and excel as well as the ability to learn new systems quickly.
Why You’ll Love Working Here
  • A supportive, close-knit team
  • Meaningful work serving patients with specialized medical needs
  • A role where your initiative and reliability truly matter
  • Time off (paid) around holidays and during full office closures
