Overview
The Department of Adult and Juvenile Detention (DAJD) is seeking an Administrative Specialist III in the Resident Service Office (RSO) of the Administrative Services Division. This position performs a broad range of administrative and clerical functions to support and coordinate resident services while delivering customer service. The candidate will interact with residents, Correctional Officers, law enforcement personnel, and members of the public, requiring strong communication, organizational, and interpersonal skills.
The RSO within the Seattle and Kent Detention Facilities Division coordinates professional visits and jail access, orders recreation supplies, and handles other resident needs such as pro se services and religious diet accommodations.
Responsibilities- Provide exceptional customer service in assisting with information requests from the general public, command staff, County departments, and internal/external stakeholders.
- Offer customer-focused support in a wide range of administrative duties, meeting the expectations of internal and external customers/stakeholders (including Department managers, coworkers, attorneys, court-ordered professionals, residents, and others).
- Handle complex office duties (answering phones, faxing, photocopying, emailing, processing/distributing mail, and ordering office supplies).
- Perform clerical duties independently and prioritize work to ensure timely completion.
- Communicate effectively with team members and collaborate on shared assignments.
- Prepare memorandums, letters, and reports using various computer programs; maintain schedules, charts, and graphs as needed for multiple functions.
- Maintain, update, and retrieve data in JMS (Jail Management Systems) and other corrections/criminal justice databases; utilize MS Word, Outlook, SharePoint, and Excel.
- Maintain organized, accurate, and accessible records and filing systems for sensitive information.
- Ensure security and confidentiality of sensitive communications and documents across all formats.
- Meet face-to-face with residents to accept and deliver documents and materials.
- Provide resources to Pro Se resident defendants, such as legal materials and computer access, while adhering to policy guidelines.
- Document and track interactions and address related issues and grievances.
- Coordinate resident recreation, including scheduling yard time, ordering, distributing, and maintaining recreational supplies.
- Gather feedback from customers/stakeholders and use it to improve processes, services, and products.
- Perform other related tasks within area and scope of responsibility.
- Four (4) years of full-time clerical experience, including two (2) years of high-volume customer service and complex administrative functions.
- Strong customer service skills with effective oral and written communication.
- Ability to use tact and discretion in difficult communications.
- Exceptional organizational skills: planning, prioritizing, attention to detail, multitasking, analytical and problem-solving abilities, and time management.
- Intermediate proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Intermediate proficiency in Microsoft Teams and SharePoint.
- Experience maintaining security and confidentiality and handling sensitive inquiries while sharing appropriate information.
- Ability to work effectively with managers in a hierarchical environment to obtain and respond to critical information.
- Ability to follow policies and procedures consistently and accurately.
- High School Diploma or GED.
- Advanced skills in Microsoft Office Suite (Word, Excel, Outlook).
- Advanced skills in Microsoft Teams and SharePoint.
- Experience in criminal justice/corrections/court system field.
