Office Administrator/ Coordinator, Admin Assistant, Office Assistant, Virtual Assistant/ Remote Admin
We are seeking a dependable and organized Office Assistant to support daily office operations and provide administrative assistance across departments. This part-time position (24 hours per week) requires excellent customer service, attention to detail, and the ability to work both independently and as part of a team.
Responsibilities- Open and close the building’s main entrance
- Answer and direct incoming calls
- Greet visitors and issue temporary badges, key cards, and parking validations
- Maintain reception coverage and a professional front desk environment
- Sort and distribute mail and faxes
- Maintain staff directories, bulletin boards, and library journal subscriptions
- Schedule company vehicles, parking passes, equipment use, and vendor visits
- Process invoices and maintain filing systems
- Monitor and stock office, conference room, and kitchen supplies
- Organize supply areas and maintain conference room readiness
- Replenish copy paper, coordinate copier repairs, and recycle toner cartridges
- Perform basic maintenance of office coffee machines
- Provide administrative support including photocopying, data entry, filing, document preparation, and spreadsheet maintenance
- Assist with special events, departmental projects, and office communications
- Collaborate with team members to ensure continuous reception coverage and project completion
- High school diploma or equivalent required; some college coursework preferred
- Minimum two years of office or administrative experience
- Proficiency with Microsoft Office, including Word
- Strong customer service, communication, and organizational skills
- Ability to manage multiple priorities, work independently, and contribute effectively as part of a team
Compensation
$22.55 to $31.35 per hour
