Office Assistant 3 (OA3) – Community Corrections Division

[DOC WFSE Monthly Salary Range 39: $3,630.00 to $4,833.00]

Position Overview

Under general supervision from the Community Corrections Supervisor (CCS), the Office Assistant performs file management and routine clerical tasks for the CCS, Community Corrections Officers (CCOs), and the field unit. The role includes front‑desk duties and is essential to the efficient operation of the Burien Field Office.

Key Responsibilities
  • Provide front‑desk reception on a rotational basis, greeting and directing clients, the public, and stakeholders.
  • Manage a multi‑line phone system and handle all outbound and inbound calls.
  • Maintain office equipment and supplies, ensuring the public entry door opens at 8:00 am and closes/locks at 5:00 pm.
  • Manage and maintain electronic and physical files, including database entry and retrieval from OMNI and OnBase systems.
  • File and archive closed DOC field files in accordance with agency policies.
  • Provide general administrative support to the CCS and CCOs, including scheduling meetings, responding to inquiries, and assisting with documentation.
  • Perform additional duties as assigned by the CCS.
Required Qualifications
  • High school diploma or GED equivalent.
  • Six months of clerical and/or customer‑service experience.
  • Basic proficiency in Microsoft Office (Outlook, Word, Excel).
Skills and Abilities
  • Reliable attendance and punctuality.
  • Respect for confidentiality and privacy standards.
  • Ability to assist individuals with criminal backgrounds in a focused, professional manner.
  • Proficiency in navigating internal databases and electronic filing systems.
  • Strong written communication, including proofreading and editing capabilities.
  • Effective verbal communication with staff, supervisors, the public, and stakeholders.
Preferred Qualifications
  • Two years of clerical experience, including proficiency in Microsoft Office.
