Position: Judicial Administrative Assistant - COA DIV I

Judicial Administrative Assistant

Washington State Court of Appeals (COA) Division I is hiring a detail‑oriented, motivated professional to serve as a confidential administrative assistant to a judge of the Court of Appeals. The position requires a minimum of two years of Associate of Arts in legal secretarial science or a paralegal degree, and five years of legal or administrative experience. This role is a regular, full‑time position located in Seattle, Washington with a salary range of $78,488 to $102,970 per year, plus a 5% King County Pay bonus.

Responsibilities
  • Process letters, orders, opinions, and other correspondence; answer telephone inquiries; develop and initiate procedures to facilitate management of the judge’s office; keep the judge informed of significant items requiring review or action; call attention to deadlines; maintain files of correspondence and records.
  • Provide support for committee work; assist with preparation of presentation materials; monitor continued judicial education requirements.
  • Maintain judge’s brief packets for cases set for oral argument; track docket dates, distribution, and issuance of opinions; manage petitions for review to the Supreme Court; prepare work files for writing assignments; arrange conference files; index and dispose of documents; maintain electronic case files.
  • Process drafts of opinions; edit, proofread, verify citations, and ensure compliance with style and terminology; circulate draft opinions to the panel; finalize opinions for signature.
  • Check advance sheets for accuracy; notify publishing authority of changes; circulate headnotes; verify proposed edits from the Office of the Reporter of Decisions.
  • Oversee chambers staff; provide orientation to law clerks and externs; monitor benefit time; coordinate meetings; prioritize workflow.
  • Work closely with the clerk’s office regarding office procedures and judicial docketing; ensure the record is complete and returned upon filing.
  • Monitor and manage motions; draft proposed orders for motions as directed.
  • Process all orders pertaining to personal restraint petitions.
  • Maintain judge’s law library; handle filing, indexing, and correspondence with the Washington State Law Library.
  • Arrange transportation and travel accommodations; register for events; schedule tours; organize receptions; coordinate staffing of court events.
  • When serving the Chief Judge: monitor filing of opinions; maintain records of motions circulating to the panel; arrange for pro‑tem judges; schedule meetings and appointments; perform additional duties as required.
Qualifications
  • Two (2) year Associate of Arts degree in legal secretarial science or related field (or a paralegal degree).
  • Five (5) years of experience as a legal secretary, paralegal, executive secretary, or confidential administrative assistant.
  • Legal secretarial certificate or equivalent may substitute education on a year‑for‑year basis; paralegal or administrative legal experience may substitute education similarly.
  • Well‑developed skills in technology and automated systems, including electronic documents, case management, document management, office suite products, and electronic workflow processing.
  • Knowledge of legal research and writing principles; secretarial and office management practices;
    Washington State court system and procedures; citation and reporting sources; legal terminology, forms, documents, court rules;
    English grammar, spelling, punctuation.
  • Ability to compose correspondence; prepare reports independently; exercise independent judgment; proofread accurately; maintain confidentiality; establish effective working relationships; learn and apply court rules; use word processing and email; type accurately; follow written and oral instructions.
