Job Description

The University Honors Program, a unit of Undergraduate Academic Affairs, invites applications for the position of Program Manager, Operations and Events. The role oversees program operations, event production, communications, and administrative coordination. Applicants will be reviewed beginning May 4th, 2026.

Program Operations Management
  • Manage daily operations and logistics for the Honors Program, including oversight of program spaces in Mary Gates Hall.
  • Design, implement, and manage operations policies, procedures, and training resources.
  • Create and maintain process calendars to improve services.
  • Develop office reception staffing coverage strategies and calendars.
  • Liaise with building coordinators, IT, Facilities Services, Emergency Management, and outside vendors.
  • Maintain program rooms and spaces for internal and external users, including CAAMS access.
Purchasing and Budget Management
  • Manage annual operations budgets, procurement memos, and purchasing/expenditure tracking documents.
  • Advises on strategic planning for operations budgets.
  • Ensures compliance with University rules and purchase policies.
  • Analyzes purchasing patterns to inform budget and purchasing planning.
Communications and Marketing Outreach
  • Direct overall communication strategy, including long‑term strategic plans.
  • Produce and distribute digital and print publications to support communications and fundraising.
  • Manage design and production of promotional materials in accordance with UW brand guidelines.
  • Represent UW Honors to UAA communications staff and external contractors.
  • Train and guide staff on university communication systems.
  • Assess and report on communication effectiveness via metrics such as click rates, engagement, and application numbers.
  • Contract with external communications specialists and manage the Honors Program website.
Additional Operations Needs
  • Schedule and organize committee and staff meetings, including logistics, agenda development, facilitation, and communication.
  • Maintain administrative, student, financial, and electronic records ensuring compliance and confidentiality.
  • Support admissions and scholarship application logistics.
  • Coordinate with Records Management Services to comply with state and federal regulations.
Event Production
  • Develop strategic plans for annual and quarterly events.
  • Execute all program events from design to analysis, including public-facing events.
  • Use data from surveys, RSVPs, attendance, and volunteer records to improve future events.
  • Produce the annual Global Challenges lecture, coordinating speakers, venue, staff, and sponsors.
  • Manage event budgets and purchasing.
  • Coordinate with university partners and community partners.
  • Maintain internal and external event calendars.
  • Hire, supervise vendors and student employees and maintain an event volunteer pool.
Executive Leadership Support
  • Provide executive administrative support to the Director and Assistant Directors.
  • Facilitate visits and engagements with special visitors, alumni, donors, and stakeholders.
  • Direct alumni and family outreach, promoting engagement with students.
  • Research, create reports, and support special initiatives.
  • Engage with UAA Dean’s Office Communications and Advancement representatives.
  • Manage communications and scheduling with campus allies and off‑campus stakeholders.
  • Undertake special projects as assigned.
Hiring and Supervision
  • Oversee hiring processes for permanent and temporary staff, including application review, committee logistics, and onboarding.
  • Coordinate recruitment and hiring of undergraduate and academic student employees.
  • Supervise student employees responsible for reception and staff support, providing training and performance oversight.
Other Duties
  • Read and evaluate applications for all Honors admissions cycles.
  • Evaluate scholarship and award materials.
  • Attend staff meetings, retreats, and committee work related to the program.
  • Participate in shared office and administrative duties such as kitchen maintenance and documentation updates.
Minimum Requirements
  • Bachelor’s degree in any field.
  • Two to three years of experience in administrative and project management, including coordinating events and communications.
