Position Summary

The Office Services Assistant provides general clerical and administrative support to ensure the smooth operation of the office, working closely with the Office Services Manager on a daily basis.

Responsibilities
  • Sorts and delivers incoming and outgoing mail, including accounts receivable bank drops.
  • Files, faxes, scans, prints, and assembles documents.
  • Assists with entering office expenses (federal expenses, messenger services, invoices).
  • New‑hire set‑up: assign office or cubicle, retrieve name plates, IT tickets, new‑hire photo, badges, keys, supplies; organize and clean exiting office spaces.
  • Maintains cleanliness and organization of training rooms, conference rooms, and overall office space.
  • Assists with setting up or breaking down tables, furniture, etc.
  • Schedules meetings and appointments.
  • Schedules and prepares conference rooms.
  • Provides reception coverage.
  • Orders and stocks office supplies, stationery, and breakroom supplies (coffee, soda, snacks).
Qualifications
  • High School Diploma required.
  • 1 to 3 years of relevant experience.
  • Proficiency in Microsoft Office suite.
  • Experience with office machines (fax, high‑speed copier, multi‑line phone, 10‑key calculator) preferred.
  • Excellent customer service and client‑focused skills.
  • Excellent organizational skills; ability to manage competing priorities.
  • Detail oriented; ability to follow directions/procedures and prioritize calls and visitors.
  • Ability to work independently and follow procedures.
  • Willingness to work overtime and weekends as needed.
Compensation

The pay rate range for this position is $20.91 to $30.50 per hour. Actual compensation is influenced by a variety of relevant factors including but not limited to applicant’s skills, prior experience, qualifications, degrees, professional certifications, work arrangements and geographic location.
