Job Description
Site Leader – responsible for daily operations of a small‑site and acts as the go‑to person for a small team, ensuring acceptable profit levels and customer service expectations are met. Performs contracted office services such as copy, courier, managed print, hospitality, imaging, and mail services.
Position ProfileAccountable for daily site operations, reporting and escalating facility‑related issues to leadership, maintaining profit levels, and ensuring customer service levels are met.
Job Duties and Responsibilities- Responsible for daily operations of a mail room, copy center, or scanning facility, including operating office equipment (PC, copiers, multifunction devices, imaging & mail equipment).
- May handle courier services, reception services, switchboard operations, shipping & receiving, and processing of mail.
- Acts as the go‑to person for a small employee team, assisting with job assignment, project scheduling, supervising mandatory break times, and reporting facility issues.
- Serves as the point person on site for customer issues and contract compliance when no Site Manager is assigned.
- Responsible for training and development of assigned staff.
- Handles formal contact with the customer on a daily basis.
- Manages the implementation of RICOH Service Excellence programs.
- Analyzes problems independently and manages resolution.
- Understands contractual Service Level Agreements, tracks progress, and reports compliance and performance improvements to customer contacts.
- Assists leadership with recruiting, staffing, and performance management of site personnel.
- Maintains positive internal relationships with all department employees through professional communication.
- Provides training on workflow and machine operations when necessary.
- Achieves shift profitability by supervising use of company materials and supplies.
- Maintains quality and deadlines through effective job scheduling practices.
- Ensures workflow efficiency by holding team members accountable for quality and efficiency.
- Facilitates resolution of pricing and order issues by communicating with the sales department.
- Completes site reports and other paperwork accurately and on time.
- Maintains daily routine functions: creating/completing work orders, contracting monitoring, inspections, reporting facility issues, and providing support.
- Interacts with contracted vendors, facility management, and occupants as required.
- Responsible for office supply inventory re‑ordering.
- Coordinates conference room usage and A/V equipment resources.
- Completes month‑end management reports when Site Manager is absent.
- Assists assigned AOM/ESM or NOM with training and development of site personnel.
- Places requisitions for site products and supplies using Oracle iProcurement.
- Performs other duties as assigned.
- High school diploma or GED required.
- 2 years of experience in a related field (B2B and/or technical).
- Previous training experience strongly preferred.
- 2 years of customer‑facing work experience required.
- Demonstrated proficient knowledge and understanding of technology.
